GrantHub Trial Checklist

The following items are suggested activities to help you set up and evaluate GrantHub’s capabilities:

Organization

Set up your Organization information. (Select ‘My Organization’ from blue Welcome box in the upper right).

Details: Enter your Organization information – including EIN (if applicable) in the details screen

Preferences: Tune the email reminder settings and set your fiscal year if it isn’t the calendar year

Resources

You are not able to access GrantStation’s funder search during a trial. If you are interested in learning more, view Video Tutorial using the link found on the GrantStation tab under Resources.

Add a new item to your list of Resource links – for example, add a resource you use when researching or writing a grant (a Regional listing of available grants, state or regional nonprofit center, etc.).

Click on ‘Who Funded This Organization’ tab. Search for your own Organization by name or EIN. If there are multiple organizations to select from, find your organization listed and click on ‘View Past Funders’.

Once you see list of Funders, select one and click on ‘Import as Funder’ to upload Funder into GrantHub.

Funders

Go to Funder’s list, select ‘Add Funder’ button and add a Funder.

Fill in their areas of interest, description, type of funder, web address, etc. if you know them.

Add a Contact under a Funder.

Add a Note to the Funder – write some details about your relationship orconnections to the Funder

Fill in the Funder’s EIN if not there - Use the Lookup button.

Click on the 990 tab and open the Funder’s most recent 990 available.

Opportunities and Tasks

Add a grant award to GrantHub. Go to Opportunities list and select ‘Add Opportunity’ button. Enter in the grant name (use ‘Funder’s program name + year’ tomake it unique), select the Funder from drop down, or ‘add new’, fill in Amount Requested, Funding type, set Status = Awarded, Amount Awarded and Date awarded.Then ‘Save’.

Upload the final version of your grant Proposal to the document tab on the Opportunity.

Add a Follow up tasks – such as a Report Due Task - to this grant by clicking on the ‘Add Follow up Task’ button (Enter task name and set the owner and due date).

Copy this grant Opportunity to your future pipeline by clicking ‘Copy Opportunity’ button. Change the name so it contains the next year. Select any tasks you would like to copy along with the Opportunity.

Add an upcoming grant Opportunity. Set the proposal due date and set Status to ‘Planned’.

Add a Task to an Opportunity by clicking on the ‘Task’ tab and selecting the ‘Add Task’ button. Create a task – for example: Work on budget, Submit an LOI, Schedule site visit, or Create final draft of proposal. When you create or edit a task using the task tab, you can attach documents to the task.

Go back to Opportunities and export your list of Opportunities to Excel using the ‘Excel’ button.

Deadlines

Open a Task, upload a file attachment to the task, and a note to indicate progress.

Mark a Task as Closed once it is completed.

Answer Library

Add a text answer to your Answer Library – for example, create an answer titled “Mission Statement”.

Copy your Mission Statement from the Answer Library into a Word document or online application.

Add a file to your Answer Library – for example, create an answer titled “501c3 Determination Letter” and change the type to ‘File’ and click in space on the right side to attach 501c3 determination letter.

Reports

Run a report, “Opportunities by Status”, Filter by selecting ‘Foundation’ from the Funder Type filter.

Scroll down to report details, click ‘Status’ column to sort by Status, click ‘PDF’ button to export to PDF.

Help

Click on Help and search on ‘video’, select and watch one of the tutorial videos.

Search on ‘Roles’ to find differences between the Admin, Writer and Viewer roles.
