Tuition Agreement

with an

International Student

Congratulations on being given a Student Visa to study at KaiparaCollege.

Parents, to complete the enrolment of your child you must do these things:

  1. Arrange to pay the Tuition Fees if this has not yet been done.
  2. Arrange to pay the Homestay Fees if this has not yet been done.
  3. Sign the International Student Tuition Agreement.
  4. Sign the Refund Conditions for International Students.
  5. Complete and sign the Driving and Car Ownership Agreement.
  6. Complete the Insurance Information Form.
  7. Sign the Homestay Agreement. Have your son or daughter sign it too.

The Tuition Agreement also contains some important information for you:

  1. The school rules.
  2. The grievance procedures that operate at the College
  3. The orientation programme for your child when they arrive at the College.
  4. Student welfare
  5. A summary of the Code of Practice for the Pastoral Care of International Students.

When the fees are paid and the Tuition Agreement papers are signed we will send a confirmed offer of place and receipts for the fees.

Please note that these documents must be signed by the parents of the student and by the student. Agents can only sign on behalf of parents if they have the written authority of the parents to sign on their behalf.

International Student Tuition Agreement

This is an agreement between the parents or guardians of and KaiparaCollege .

1.KaiparaCollege agrees that:

a)It will provide tuition to the Student as requested providing that the student meets our admission conditions for the course.

b)Provide help, support and guidance to the student during their study at the College.

c)The College will use its best efforts to ensure the safety, health and well-being of the Student while at KaiparaCollege.

d)The College will provide homestay accommodation, on request.

e)It will use its best efforts to ensure that the homestay accommodation meets the student's needs.

f)It will provide regular reports of the progress of the Student to the parents and the student's agent.

2.The Parents agree that:

a)The student is subject to the rules and regulations of KaiparaCollege and to the discipline provisions of the New Zealand Education Act 1989

b)The Student will follow any reasonable instruction given by a teacher.

c)They will provide the college with academic and medical information about the student.

d)The college can receive information from any other person about the student's medical, welfare or educational history.

e)The college can receive financial information about the student.

f)The college can use information about the student for educational, welfare and medical purposes.

g)The college can discuss information about the student with the student's homestay parents, or guardian, in the same way that the college would discuss such matters with the parents of a New Zealand student.

h)The college has the authority to permit the student to participate in extra school activities.

i)The college has the authority to provide the necessary consents in the event of a medical emergency where it cannot reasonably contact the parents in the necessary time.

  1. The fee for tuition will be $NZ 12,500.00 per annum.
  1. Tuition Fees are to be paid one year in advance.
  1. All fees paid to the College are protected by the Fee Protection policy of the College.
  1. Tuition Fees are subject to a refund policy. This policy is attached to, and is part of this agreement.
  1. While the college will do its best to ensure the safety, health and well-being of the student, the college is not liable for any damage or harm caused to a student or to a student's property inside or outside of school hours.
  1. The College's liability in relation to tuition services is limited to the amount of tuition fees paid by the student.
  1. This agreement can be changed by the written agreement of Parents and the College
  1. The College may terminate the tuition in the following circumstances:

a)If the student fails to attend for more than 20 consecutive days without an acceptable reason.

b)If the student fails to complete the work required in the course.

c)If the student is excluded or expelled from the school as a result of the application of the Ministry of Education's Stand-down, Suspension and Exclusion Rules.

  1. The agreement may also be terminated at any time by agreement between the parent and the College. The notice of termination must be in writing.
  1. If this agreement is terminated the refunds policy attached to this agreement shall apply.
  1. This agreement is subject to the Consumer Guarantees Act 1993 and the Fair Trading Act
  1. Parents and Students have the right under the Privacy Act to have access to any personal information about them that is held by the College. Parents and students can request corrections to any personal information held by the college.
  1. This agreement is made under New Zealand laws. The courts of New Zealand have exclusive jurisdiction.

Refund Conditions for International Students

Tuition Fees

If the student has enrolled but has not yet started the course.

The tuition fees may be refunded less a $500.00 administration charge

If the student has started the course and is still in the first half of the course.

The tuition fees will be refunded less the following charges:

An administration Fee of $500

The cost of the course up to the time of withdrawal.

The Government charges that apply.

Any commission that has been paid

Any money that is owed by the student to the school, to the homestay, or to a New Zealand business.

If the student has started the course and is in the second half of that course.

The tuition fees may only be refunded if there are special reasons for the student leaving such as becoming seriously ill or serious illness in the student's family or some other special reason.

If a refund is to be claimed the student must:

Write a letter explaining the special reasons,

Have a letter from the student's family or agent explaining the reasons.

The Principal will make the decision about giving a refund in these circumstances

There are NO refunds if the student has been asked to leave the school because of bad behaviour, or poor attendance or leaving to attend another school or educational institution or because the student broke the school's car rules.

Homestay Fees

All unused Homestay fees will be refunded if the homestay has been given two weeks notice that the student is leaving.

If the student does not give two weeks notice, then two weeks homestay fees will be deducted from any refund.

The homestay placement fee will not be refunded.

Homestay Agreement

  1. The homestay must be one arranged by KaiparaCollege
  1. All college homestays have been approved by the College. The homestays conform with the New Zealand Ministry of Education's International Student Homestay Guidelines.
  1. KaiparaCollege will do its best to find the student a suitable homestay. The College will change the student's homestay if there are reasonable reasons for doing so.
  1. Homestay fees are paid at the same time as the tuition fee. They must be paid 12 months in advance when the student first enrols. After that homestay fees must be paid each 6 months in advance.
  1. The homestay will provide the student with:

a)A bedroom

b)A bed, linen and bedding

c)A wardrobe

d)A desk

e)A desk-lamp

f)Three meals a day

g)Towels

h)Laundry and housekeeping services.

  1. The College and the homestay family have a responsibility to ensure the safety of the student and that the student is properly cared for.
  1. The College has advisors to help the student adjust to a new country.
  1. The College and the homestay family can help the student get to medical and dental services and can help the student get any medicines or personal items they may need.
  1. To ensure safety the student must follow the rules laid down by the college and the homestay.
  1. The homestay will make the student welcome. The student is expected to fit in with any reasonable rules set down by the homestay family.
  1. In New Zealand students are expected to get the agreement of their homestay parent if they want to go out. The student will be expected to tell the homestay where they are going, who they are going with, how they are travelling and when they expect to return to the homestay.

Driving and Car Ownership Agreement

My child is NOT to own a car or drive in New Zealand.

My child can own a car or drive in New Zealand if my child chooses to do so.

I agree that:

1.My child cannot own or drive a car until my child has shown the College that my child has a genuine Driving License and that my child knows how to drive properly on New Zealand roads.

2.If my child has a legal International Driving Licence, my child must:

a)Provide the school with a photocopy of the Driving Licence from my own country.

b)Provide the school with a photocopy of the International Driving Licence.

c)Sit and pass the New Zealand Road Code Test.

d)Provide a report from a recognized New Zealand Driving Instructor that my child is a satisfactory driver.

e)Attend a Defensive Driving Course and show the school the attendance certificate.

3.My child cannot buy or own a car until these steps have been completed.

4.If my child does not have a legal International Driving Licence, my child must follow the New Zealand procedures for obtaining a Driving Licence.

5.If my child does not have a legal International Driving Licence, my child cannot buy or own a car in New Zealand until they have their Restricted Drivers Licence.

6.My child will carry at least third party insurance on any car that my child owns.

7.The school can assist my child comply with these rules.

8.All costs involved in owning a car or in satisfying the school's rules for owning and driving a car will be met by me or by my child.

9.The school is not liable for any injuries, accidents, damages or costs associated with owning a car or driving in New Zealand.

Insurance for International Student

International students must have medical insurance.

We strongly recommend that students have comprehensive insurance covering medical expenses, loss, theft, personal liability and travel problems.

Families can arrange this themselves or the school can arrange it when the student enrols.

International Student Grievance Procedures

We want your study at KaiparaCollege to be successful. We hope your stay will be a happy one.

If you have a problem at College or with your homestay talk to someone at the College as quickly as possible so that the problem can be sorted out.

Even if your problem is a little one, get help and have it resolved. Act before the problem becomes a bigger one.

If you think that your English is not good enough you can bring a friend with you to help. Sometimes we can get another staff member to translate for you. If necessary we will get your agent, or another person to translate for you.

FIRST STEP

Problems with your classes or with teachers

Speak to the teacher about it.

If that does not fix the problem, see Mrs Olsen for advice.

Problems with school friends

  1. Speak to one of counsellors about it.
  2. You make an appointment at the Student Centre.
  3. If that does not fix the problem see Mrs Olsen for advice.

Homestay problems

Speak to your homestay parent about it.

If that does not fix the problem see Mrs Olsen for advice.

SECOND STEP

If you are still unhappy and think that the problem has not been solved you can speak to the Principal, Mr Grant, about it.

Your parents can also write to the principal about the problem.

THIRD STEP

If you still feel that the problems have not been solved that you may contact a group of people set up by the Government specially to help fix these problems. They are called:

You must have tried to sort out the problems at school first. They will consult the school about what has been done before they help you.

School Rules

1.Show respect for other people in the school.

  • No violence
  • No abuse of any person
  • No racism
  • No harassment

2.Attend all classes and be on time.

3.Work and study conscientiously

  1. Year 9, 10, 11 and 12 students wear school uniform.

Year 13 students can dress casually but clothes must be clean and tidy.

5.These things are not permitted at school at all.

  • Cigarettes, lighters, matches
  • Fireworks
  • Alcohol & drugs
  • Knives or any other weapon.

6.Respect other people's property. All personal items should be named.

8.Look after the school's property and equipment.

9.Visitors to the school must report to the school office.

You have the right not to bullied or harassed.

If you are being teased or bullied or harassed you should speak to Mrs Olsen or the Principal immediately.

Student Welfare

Support Services

International Students at the College have access to a number of support services. These include:

  • A Director of International Students who monitors the welfare and progress of students closely.
  • A Health Centre
  • A Social Worker
  • An advisor
  • Careers advice. This includes specialist advice for International students from Universities and Polytechnics.

Academic Progress

Academic progress is monitored in the same that all our students are monitored. The International Students have access to assistance with their studies from teaching staff and from tutors.

The College will consider changing a student's course if the student is finding the study in a course too easy or too difficult.

Students who fail to do the work required will receive advice and assistance. If they still fail to do the work required then their enrolment in the course will be reviewed. The school will consider the following options:

  • The provision of additional help.
  • A change of class or course.
  • Transfer to another school or institution. (The school's refund policy will apply.)
  • Discussion with parents and/or agent.
  • Referral to a specialist person or organization
  • Sending the student home
  • Referral to New Zealand Immigration.

Attendance

The attendance of students is recorded for every class every day.

Any attendance problem is referred to the Director of International Students who will do her best to fix the attendance problem.

If an International Student fails to meet the attendance requirements of the course the school will consider the following options:

  • Discussion with parents and/or agent.
  • Transfer to another homestay.
  • Referral to a specialist person or organization
  • Sending the student home
  • Referral to New Zealand Immigration.

Withdrawal from Courses

Students who withdraw from courses at the College are referred to New Zealand Immigration unless an acceptable transfer to another school or institution has been agreed between the school and the parents.

The school's fees refunds policy will apply.

Starting at KaiparaCollege

Arrival

We will arrange for the student to be met at Auckland International Airport.

We will drive the student to the homestay or to their guardian's residence.
