·  Meeting called to order by Ron Mathis at 8:35 AM

·  Ron Mathis appointed Paul Dittmann as Parliamentarian

·  Introductions were facilitated by Ron Mathis.

·  Larry Winkelman gave a welcome to Chicago. Ron Mathis thanked the Chicago chapter for hosting the Region Monday night and Tuesday.

·  Consent Agenda: A motion was made (Mark Gilfand / Dick Boenisch) and approved to accept the following items in the Consent Agenda presented by Ron Mathis (The reports are available to all members on the Region 5 page for the Spring 2015 meeting.):

o  Approve September 18, 2014 Board Meeting Minutes

o  Approve AITP Region 5 Budget

o  Acknowledge receipt of Region Officer Meeting minutes from December 19, 2014.

·  Treasurer's Reports: Bill Riter sent the following items for the Treasurer's Report:

o  Auditor's report/status: 2013 audit is posted via the link above.
A motion was made (Mark Gilfand / Jay Esty) and approved to accept the 2014 audit report.

o  Current 2015 YTD Financial Report: The 2015 budget and current status is also posted.

o  Status of Region Funding: Region funding is in the Association budget. Form is due 4/30/2015.

·  Region Nominating Committee / Officer Elections:

o  Ron Mathis will be the committee chair and is looking for volunteers to run for a region office.

·  The District / Association Candidate Recruitment Committee (Nita Adams).

o  Committee Members are Nita Adams (chair), Dick Boenisch and Tony LaCrosse

o  The procedures for 2015 have not been set as of the Region 5 Meeting.

o  Region 5 committee is working on candidates. So far: John Council – Executive VP / President Elect, Vicki Hampton – current Central District Director possible Association Secretary,
Carrie Drephal – Central District Director.

o  Action: All Region Directors should contact their chapters to see if anyone is interested in running for an Association office. Associate Treasurer will be elected in addition to the above positions. To run for an Association officer position (EVP, Secretary, Treasurer) the person must have held a previous Association or Region position which includes Region Director / Chapter Liason.

·  The Region Webmaster Report: Mark Gilfand walked through several areas of the web site.

o  Report: (The report is available to all members on the Region 5 page for the Spring 2015 meeting via the link above.)

·  NCC Region 5Grant Selection Committee (Dick Boenisch):

o  Committee members were Kim Winter, Bryan Runyon, Dick Boenisch-Chair

o  Region 5 NCC Grants for 2015 were Ferris State University, Central Michigan University, and Eastern Illinois University.

o  It was suggested to start promoting the NCC when the school year starts in Fall since it will be in Chicago next year. It was also suggested to have a “pep rally” conference call in January. The region grant process can be mentioned on that call.

·  Fall 2014 Region Conference Report (Jay Esty)
Jay reported on the combined Region / Chapter meeting that was held the afternoon / evening of the first day. The Region Meeting and Student Chapter Summit were held the second day.

·  Fall 2015 Region Conference

o  Chicago has offered to host the Fall Region 5 meeting on September 21st in a similar venue as the Spring meeting.

o  A motion as made (Mike Welch / Mark Gilfand) and approved to have the Fall meeting in Chicago.

o  Action: Ron Mathis and the Chicago Chapter should finalize arrangements and send the information to Mark Gilfand so it can be posted on the web site.

o  All - Mark Your Calendars: The following information was provided after the spring meeting.
September 21 – Chicago Chapter Meeting, LaMirage, Rolling Meadows, IL
September 22 – Region 5 Fall Meeting, (tentative – Holiday Inn, Rolling Meadows, IL)

·  Region Directory was e-mailed to the Region Directors by the Region Secretary.

o  The Region Secretary was asked to send both a Word and Excel version of the directory when it is distributed in the future.

o  Action: Region Directors to review and update the Region Secretary and association with any changes per instructions in the document.

·  Region Awards Committee (Ron Mathis – as presented in the agenda)

o  2014 Region Student Outstanding Chapter: Ball State University. See Region 5 Home page.

o  2014 AITP Faculty Advisor of the Year: Dr. Fred Kitchens, Ball State University

o  Professional Awards (Web Page – Calendar)

o  Region Professional Outstanding Chapter

o  Region Student Outstanding Chapter

o  Action: Ron Mathis will appoint the appropriate independent “Region Outstanding” selection committees once the candidates for each award have been identified.

·  Chapter COPA / PCI (Ron Mathis – as presented in the agenda)

o  COPA due 4/30/2015 Info available on AITP Web Site

o  IPAs due anytime, but give the committee 8 weeks. Info available on AITP Web Site.

o  SCOPA and SIPA due May 31. Info available on AITP Web Site.

·  Chapters must file tax returns by May 15 Info available on AITP Web Site (Ron Mathis)

·  Status of At-Risk Professional Chapters (Ron Mathis)

o  Feb. 2015 Membership Dashboard is posted via the link above.

o  Southeast Wisconsin is voting to disband. Both Northeast Wisconsin and Chicago have offered to pick up the student chapters that are currently connected to Southeast Wisconsin.

o  Illowa professional chapter has 3 members. Only 1 of the 3 student chapters has any members listed. Larry Schmitz was asked to work with the 3 remaining members to suggest that the professional chapter be disbanded. The professional members could become members-at-large of Region 5 or of Chicago. Also discuss a home for the student chapters.

·  Status of At-Risk Student Chapters (All).

o  See Feb. 2015 Membership Dashboard in agenda item for At-Risk Student Chapters.

o  Paul Dittmann reported that there are 13 members of the Student-At-Large chapter. Chicago will use that chapter in conjunction with NCC to get other Chicago area schools involved that do not have the required 10 members to form a student chapter.

o  Northeast Wisconsin is interested in forming a similar Student-At-Large chapter.

o  It was agreed to defer any action on Student Chapters until after NCC. NCC is something that can be used to sell the benefits of being an AITP student member.

·  Think Outside the Box - Progress (All) -- Previous Summary (PDF - Microsoft Word)

o  Jay Esty reported on the status of the Northeast Wisconsin items. They have started the process of awarding a prize if members attend the monthly meetings.

o  Paul Dittmann reported on one of the items for Chicago. Deans of schools are meeting quarterly with AITP business people to align education programs with what business needs. About 80 people are attending the meetings. One of the best outcomes is a list of real project ideas that can be used by the students.

o  Mark Gilfand reported on the Twin City item. The chapter board is in the planning process. They are also planning a pizza party to make employees of the largest employer aware of AITP. Chicago suggested that busing to a Chicago meeting, perhaps a CIO round-table, could be an alternative.

·  Other Business (Ron Mathis)

o  Mark Gilfand reminded chapters about the existence of FITE (Foundation for IT Education). FITE does the investment management for their own scholarships as well as scholarship funds for association chapters. If any chapter would like to make use of this service they can contact Mark or Nita Adams. Mark also mentioned that FITE is a 503C corporation so any donations are tax deductible.

·  A motion was made (Mike Welch / Mark Gilfand) and approved to Adjourn. The meeting adjourned at 10:30 AM.
