Role Title: Volunteer Scrutiny Panel Coordinator
Reports to: Quality Assurance Manager
Location: Ekaya Housing Association, Brixton, SW9 6DE
Overall aim
We are looking for an empathic, friendly, enthusiastic and motivated volunteer to coordinate the Scrutiny Panel.
The South London Federation of Housing Associations (SoLFed) is made up of small housing associations operating across South London: Ekaya Housing Association, Housing for Women, Lambeth and Southwark Housing Association, New World Housing Association, Southwark and London Diocesan Housing Association and St. Saviours Housing Association.
The Scrutiny Panel was set up in 2011 drawn from across all the members of SoLFed to obtain the resident voice. The association are required to act upon feedback from panel members.
The Panel seeks to:
- Monitor performance of each landlord against service standards to reflect the needs and priorities of residents;
- Explore where there is good practice across SoLFed and seek to agree how other landlords in the Federation can learn from each other; and
- Report on its work in each landlord’s Annual Report.
The Panel meets approximately every 8 weeks and resident representatives are encouraged to attend from the five respective associations.
Key Responsibilities
- Building and collating surveys using electronic collection methods i.e. Survey Monkey, coordinating survey closure deadlines through liaison with Landlord assigned leads and providing analysis of data received in a reporting format
- Setting dates of the meetings, booking a room, coordinating postal invite to residents on the mailing list and being a point of contact for any new residents interested in getting involved in the Panel
- Circulating meeting agendas based on the previous meetings’ actions and the priorities of the Panel as well as taking minutes of the meetings and circulating notes/minutes to attendees after the meeting
- Summarising and recording actions coming out of each meeting
- Drawing up communications materials (photos, summaries of the Panel’s actions) for distribution to each landlord for inclusion in their own communications
- Coordinating the delivery of and analysing the results of the Annual Telephone Survey
- Collating performance and cost data from each landlord
- Summarising the information collected by the Panel, and their recommendations into a report to present to the Chief Executives.
- Providing quarterly update reports to SoLFed CEO and Housing Management practitioners meetings
- Treating any information given as confidential.
- Work within organisational policies and procedures.
Availability
The Panel meets on Wednesdays approximately every 8 weeks and resident representatives are encouraged to attend from the five respective associations. The volunteer coordinator is expected toattend the meetings.
We require a volunteer that can commit every Wednesday for at least 6 months.

Additional information
Volunteers are entitled to travel expenses to and from the place of work. SoLFed provides a Lunch on the day of £5. (Please note: expenses will be reimbursed against receipts only).
