  I have introduced the use of petty cash rather than cash sales and reconciling the petty cash imprest with the front office cashiers. This has resulted in the reduction in the misuse of cash sales and an improvement on the cashflow.

  Ensuring that customers are correctly invoiced by the reservations team for credit clients with correct and full contact details raised on the invoice which has reduced queries greatly on outstanding payments as the client verifies and signs before checking out. Consequently, this has resulted into very high receivables recovery and high sales revenue been reported from the initial of k300 Million to K500 Million to K700 Million to K1 Billion plus per month.

  Ensuring daily invoicing of walk in clients by front office cashiers through reconciling with the signed physical check in reservations register as well as room occupation register. This has increased cash sales for banking on a daily basis backed by the use of petty cash introduced thus resulting in working capital stabilization and reduced shortages of inventory at the bar and restaurant as funds are readily available for restocking.

  Advising the directorate of the risks surrounding the business and giving sound advise on how to minimize the risks observed. These risks include loss of revenue through poor check in and out system, poor recording of details on invoices resulting in disputes or failure to contact the actual client, the vulnerability of cash to pilferage due to a poor recording system of cash sales, loss of cash through untracked and unbudgeted purchases which where a channel of cash pilferage as liquid cash was used to do purchases frequently etc. This has resulted in the reduction of risks and brought about efficiency in the manner in which transactions are been done as well as reduced loss of cash the asset.

  I prepare bank reconciliations, receivables reconciliation especially those done through bank transfers or direct deposit and payables reconciliation to advise the directors on their status on a daily basis. The daily monitoring of transactions has reduced the rate of bounced checks, made budgeting for salaries better as well as purchases which are now not randomly done except for those only coming from petty cash such as perishables due to good planning.

  I was responsible for the posting of sales invoices from Turfview POS INTO Pastel accounting on a daily basis which resulted in a quick follow up on outstanding invoices and also reduced pilferage as this revenue was readily available for monitoring by accounts team.

  Posting of all supplier invoices to ensure that expenses were captured timely and products where actually procured. This ensured that payments where only done for invoices verified with purchases done and controlled expenditure.

  I was processing Statutory Returns such as NAPSA, VAT, PAYE as well as ERB on a timely basis which ensured that no extra cost where paid towards penalties for late payment.

  Processing of the payroll using Dove software and ensuring this expense was captured in Pastel as they were not interlinked which also resulted in satisfied employees with a good work out put as the payments where prompt and on time.

  Daily cash sales as well as receivables collected banking after reconciliation with the cashier. This prevented the abuse of cash sales and consequently a good cashflow maintenance which enabled the company to meet its working capital obligations.

  Monitoring of the fixed asset register ensuring timely and correct depreciation of the assets and the assets where still available with physical checks from time to time especially during audits.

  I was responsible for coordinating non- Key Account sales (Small mining clients, contractors and Dana Oil walk in clients) on behalf of Dana Oil for the Northern region of Zambia. The efficiency, accuracy reduced invoice disputes and consequently loss of sales as I ensured that customers only signed with what they agreed on and correct product where delivered or picked up as per order specification.

  Invoicing of Key Account sales (Large mining clients such as Lumwana, Mopani, KCM and NFC as well as Dana Oil as the sole distributor of Puma Energy products throughout Zambia) on behalf of Puma Energy Zambia. The accuracy, and efficiency in resulted in reduced losses for Dana oil which used to be as a result of unpaid key Account invoices due to errors or disputes that was contractually affecting Dana. This increased the Puma Energy volume as there was less time spent on queries which left time for increased sales and delivery. This resulted in praise from the mining clients as they too were able to control their consumption and plan well I advance as I constantly requested for the weekly budgeted consumption to ensure products available and ready for delivery as per submitted schedules. The mines began to recommend for my promotion for the work well done. This boost in volume resulted in great commission from Puma Energy as this was based on the volume of invoicing that I did.

  Advising Puma Energy Sales Managers on their portfolio mining clients’ accounts after invoicing and reconciliation of queries as well as their feedback on weekly consumption which made planning for ordering easy for manager as they knew which products to request for in their LBM planning.

  Timely advise to Puma Energy Finance on long outstanding invoices which reduced cost of invoicing to Dana Oil as they were able to pin point the reasons for late payment by the Key Accounts clients and follow up correctly.

  I ensured a timely distribution of receivables customer statements and this resulted in a stable cashflow into the company as payments where not over delayed resulting into the company meeting its obligations easily.

  I was responsible for everyday reconciliation of receivables and cash customer accounts and monitoring or credit limits ensuring they were not overlapped. This resulted in good customer relations as they were constantly reminded of their status.

  Monitoring of the receivables age analysis schedule to ensure timely payments and follow ups. This was very helpful to the sales managers for their various client portfolios that where lagging behind in payments and it helped understand even more as they were able to follow up on reasons for payments not been done on time and reduced ordering of products. It made customers have a sense of belonging due to this care hence feeling satisfied with service provided.

  I was responsible for preparing of receivables collections reports and this made sure that the responsible sales managers for their responsible client portfolios planned their sales well as they spent little time on which clients to target and it resulted in growth of sales volumes as well as revenue. It also helped in terms of which clients to offer incentives based on their good payment policies.
