Citrix VPN

1  Introduction

In an effort to accommodate the needs of the ValueOptions’ client community, various standard Corporate Applications are accessible from the Citrix Server. The Citrix Server Farm is a group of servers that work together to deliver published applications to the end-user. Citrix is a dumb terminal used solely to connect to a system and not for storage of data, with user-friendly Graphical User Interface (GUI) capabilities.

Citrix allows ValueOptions’ employees to obtain access to the Corporate Network, regardless of where they are by providing interactive, server-based computing. To access Citrix, users need the proper security access and a workstation or laptop that is configured correctly. The Citrix VPN User Manual assists in configuring a system properly.

Assumptions

The Citrix VPN User Manual assumes that:

1)  You have access to a PC with web browser with Internet connection capabilities and that the PC has a Firewall and Antivirus Software installed.

2)  You have administrative rights to install software to the PC.

3)  You are familiar with buttons, links, tabs, drop-down lists, and other graphical navigation techniques.

Getting Started

To gain access to Citrix, submit an electronic Security Access Request (eSAR) to the Technology Call Center. Follow the steps mentioned below to submit an eSAR:

1)  Logon to http://staffconnect/ - click the Applications pull down - click SecurityConnect

2)  Click on Submit New Request. Fill in required fields for Employee details – click Next.

3)  Select Citrix/VPN (Remote Access)

4)  Enter the system type and location – select agree – click Next.

5)  Put in comments if needed – ADI, On-Demand, etc (Adobe, Windows Explorer, Outlook and Office are standard)

6)  Citrix Licensing for Software is based on the software you have installed to your office PC. Please do not request software you currently do not have.

NOTE: Once you receive Citrix user access confirmation, proceed to Chapter 2: “Connecting to Citrix.”

General Remote User Information

The Client VPN software is used to connect to the ValueOptions Network. Once this connection is made you can open your Browser and get to http://bluezone/ and http://staffconnect/ from your local system. These areas will not be applications offered within Citrix.

You may also find these links handy – they will allow you to access these areas without a VPN connection. At this time we are asking all users to open Citrix with the link shown bellow.

NOTE: Login by using your ValueOptions Network UserID and Password.


As with any application, there are associated circumstances such as idle timeouts, application compatibility, and restricted local drive access that occur when working with Citrix.

Idle Timeouts

By definition, Citrix considers an application to be active when it is receiving input from a peripheral computer device such as a keyboard or mouse. If there is no input from these devices for a period of time, the application is considered idle. After a predetermined interval of idle time (one hour), Citrix disconnects the user’s session. Therefore, long running “batch” jobs should not be performed in this environment. After Citrix disconnects a user’s session, it does not actually terminate the work for approximately 15 minutes. If a user’s session does get disconnected, they can reconnect to Citrix using the same User ID from the same physical computer. The user is able to reconnect to the same session if a reconnection is made within the 15 minute time limit. After 15 minutes, the session is terminated.

Application Compatibility

Various features, file formats, and functions exist between different versions of the same applications and may cause incompatibilities. Therefore, it is important that you verify what differences may exist prior to use in order to avoid causing any incompatibilities between work done from a ValueOptions office location and work done within the Citrix environment.

Restricted Local Drive Access

Citrix Application is responsible for managing and deploying applications to a Citrix client. By default, when using Citrix, users are not able to access their local hard drives. When using an application within Citrix, an individual is not able to open a file or attach a document to an email message that is located on their local A: or C: drives, or any other workstation local drive. However, files located on a user’s network home directory are accessible through Citrix. Please be sure to always check the location you are Saving to while working in Citrix – this location should be your personal user shared location or departmental shared location on a ValueOptions Network server.


Getting the Software needed for Remote Access

VPN Client and Citrix Client software:

·  Submit an eSAR and request Citrix\VPN access. (Refer to page 1-2 “Getting Started”)

·  After receiving confirmation when an eSAR has been processed, the user is given the web address where the client software may be downloaded.

·  Open your local browser – type in http://valueoptions.com/citrix

Select VPN Client Download, click Save and save the file to your local hard drive. Make note of the path where the file is saved and record this information below for future reference. The VPN Client Download Path is required when installing the VPN Client. (Refer to page 2-13.)

VPN Client Download Path

The specific file to be downloaded is vpnclient-XXX-msi.exe (XXX = Version Number)

Click Save Click on the Save in pull down arrow change the location to C: (Local Disk)

NOTE: Download to: C:\vpnclient-xxx-msi.exe

In the example displayed above, the file is being saved to the C:\.

You can choose to download to the file to any location.


Next select the Citrix Client Download, this time select Run (instead of Save). File ica32t.exe executes directly from the download site.

The following security warning appears. Click Run to install.

Click Run

Click Yes and any default options following.

The ICA web client is then installed to the system.

2  Connecting to Citrix

After receiving confirmation from the Technology Call Center that your Citrix user access is activated, follow the steps mentioned below to connect to the Citrix Web link as shown bellow.

Citrix Logon Process

§  The system must be able to access the Internet.

§  Open a browser, and navigate to the address http://vosecure.valueoptions.com

§  When prompted to login, enter personalized credentials (i.e., User ID, password).

§  Click Log In

NOTE: Login by using your ValueOptions Network UserID and Password.


Note: If no ICA client software is present on the system, the web page will display a message under the Message Center as shown below:

·  If this message is displayed, simply click on the link directly below the warning titled “MetaFrame Presentation Server Client for 32-bit Windows” to install the client software.

·  When login credentials have been entered, a box labeled ‘Applications’ will appear on the left hand side of the screen, as below:

Connecting to the ‘App Portal’ Double click the icon to launch the application.

When logon is complete, the AppPortal icon appears in the upper right hand corner of your desktop, indicating you are now logged into Citrix.

The screens below appear when the user clicks on the AppPortal icon shown above. Users only see the programs their personalized account has permission to use:

The tabs at the top of the AppPortal verify what programs are permitted for use by a particular user.

NOTE: To setup Outlook the first time using Citrix- Double click Outlook Profile.

Citrix Logoff Process

To Logoff click on AppPortal main menu click Actions then click on Logoff or click on the icon that looks like a door (first icon on the left). Close all applications and save work before logging off.

Citrix Outlook Profile Setup

You should only have to preform this steps the first time you log on to your Citrix session as a new Citrix remote user. If your setting are not retained please review the Citrix Logoff Process (Ref page 2-3)

Double click the Outlook Profile Icon under Admin Apps.

Setup Access to Personal Files in Outlook

In Outlook across the top bar – Click on Tools – E-mail Accounts…

Click Next

Click the New Outlook Data File… Button

Select 97-2002 Personal Folders File (.pst) – Click OK

By clicking on the down arrow next to the Save in:

Change to the Network file location where you saved your PST

Once you locate your PST file click OK.

Click OK.

Click Finish.

You should now see you data in the folder list under Outlook.


Setup access to additional Mailbox in Outlook

In Outlook across the top bar – Click on Tools – E-mail Accounts…

Click Next

Click the Change… Button

Click the More Settings… Button

Click the Advanced Tab

Click Add…

Type in the Mailbox name you would like to Add.

Click OK. Click OK. Click Next. Click Finished.

You should now see the Mailbox under your Folder List.


Making a Drive Mapping While in Citrix.

From the AppPortal – Business Apps – Open Windows Explorerl

Under the My Computer area you should see the Drives you have available.

To add additional drives

Click on Tools

Click Map Network Drive…

Pick available Drive letter

Type in the new shared location

Be sure to check the box to Reconnect at logon

Click OK or Finish.

Known Citrix issues to look out for

·  If your setup in Citrix is not retained - please review the Citrix Logoff Process

(Ref page 2-3) If you are exiting correctly and you are still having this issue please contact the TCC for assistance.

·  Loosing file while saving is Citrix - always look at the path that you are saving to at the Save in: box - - - - -Use the pull down arrow to point to correct location.

3  Connecting to VPN

Install VPN Client

When installing the VPN Client, ensure that your system has no programs running in the background (i.e., firewalls, virus scans). Programs running in the background while installing the VPN Client may cause complications with the install.

·  To begin client installation, click the Start Menu and select Run. Enter the exact path where the client is saved and click OK.

·  Click Run to begin extracting the files.

·  Click OK for “WinZip Self - Extractor

·  Click Setup

·  Accept all default options during the installation. Once completed, the user is prompted to restart. Click Yes to Restart.

NOTE: If you get a “Hardware Installation” window Click Continue Anyway

Establishing a VPN Connection

The Virtual Private Network (VPN) connection, follow the steps mentioned below:

·  Make sure you have a connection to the Internet (Dial-up, Cable Modem, DSL).

·  Click the Start Menu and choose Programs - Cisco Systems VPN Client - VPN Client.

·  Click on Connection Entries, choose Create Shortcut (an Icon will be put on your desktop)

·  You can now open VPN from the desktop, double-click on the ValueOptions shortcut and click Connect.

NOTE: Login by using your ValueOptions Network UserID and Password.

NOTE: To ensure security, the system has been configured not to save logon information. A prompt to enter password information occurs each time you connect.

Once connected a box will appear to notify you that are connecting to ValueOptions, choose Continue to proceed with your connection.

You should now see a Pad Lock Icon in the lower right hand corner of your Task Bar.

Disconnecting from VPN

To disconnect from the VPN, click on the ValueOptions shortcut and select the Disconnect button.


VPN Access

Once connected with VPN to the ValueOptions Network you will be able to ......

·  Connect to BlueZone Sessions

Open you systems Browser - In the Address line type http://bluezone/

·  Connect to StaffConnect

Open you systems Browser -In the Address line type http://staffconnect/

Put in your UserID and Password for StaffConnect

·  Map Network Drives

Open Windows Explorer

Under the My Computer area you should see the Drives you have available.

To add additional drives

Click on Tools

Click Map Network Drive…

Pick available Drive letter

Type in the new shared location

Be sure to check the box to Reconnect at logon

Click OK or Finish.

(If a logon box comes up put in your Domain account ID typed like this.

ValueOptions\UserID and then the Password)


Known VPN issues to look out for

·  If you have a Software or Hardware Firewall on your system at home you may need to allow access to the 161.125.143.0 subnet in order for the VPN to communicate with the ValueOptions Network.
