MAIN PURPOSE OF THE DEPARTMENT AND JOB

The BPEX Research and Development Administrator provides administrative support for the Head of Research and Development and the other team members, both office and home based. The role is central to the success of the team providing a wide range of administrative support within a dynamic and varied team environment which includes working with individual pig farming and processing businesses. The role will work closely with administrators in BPEX marketing and R&D teams and with the PA to the BPEX Sector Director.
Administrative support will be needed for report generation and distribution for the BPEX Pig Health Scheme and the Zoonoses National Control Programme for Salmonella; and general support for the BPEX Research and Development team members including diary management, meeting notes, arrangement of travel and accommodation requirements; correspondence, requisition and purchase order management and filing. The post holder should be a first point of call for visitors to the department; deal effectively with queries and enquiries, in a timely and efficient manner, redirecting as appropriate; organise internal and external meetings including minute-taking, preparing agendas and completing papers; and the updating and maintenance of customer databases.
The key objectives for the BPEX Research and Development Department are:
·  to generate, through research and development, a flow of new products, processes and services which help English producers and processors become more efficient and maximise the value they get from the market
·  to provide the evidence base to defend the industry and ensure its legislative base allows it to compete effectively.
·  A key focus will be ensuring that the knowledge transfer team are provided with information in a format that facilitates practical implementation by businesses.

WORKING RELATIONSHIPS/MAIN CONTACTS/CONTEXT
The BPEX Research and Development Administrator reports to the BPEX Research and Development Project Co-ordinator.
Close liaison is required within the Research and Development Department and with KT Team in BPEX Communications team. The role will work closely with administrators in BPEX Marketing and Communications teams and the PA to BPEX Sector Director. There will be regular interaction with other BPEX staff members; other AHDB colleagues, producers, allied industry and vet practices.
KEY RESPONSIBILITIES
·  Administrative support for report generation and distribution for the BPEX Pig Health Scheme and the Zoonoses National Control Programme for Salmonella
·  Administrative support for the BPEX Research and Development team members including diary management, arrangement of travel and accommodation requirements; and correspondence;
·  Admin support for project management including requisition and purchase order management through the AHDB Agresso system and paper and electronic filing.
·  To be a first point of call for visitors to the department; deal effectively with queries and enquiries, in a timely and efficient manner, redirecting as appropriate;
·  Organise meetings including note and minute-taking, preparing agendas and completing papers;
·  Updating and maintenance of customer databases.
·  Communication with external contractors as required.
·  Handling departmental enquiries (telephone, letters, faxes, etc.) in a timely and efficient manner.
·  Ad-hoc correspondence for quick and efficient dissemination as required.
Other relevant duties as required by the Head of Communications and Supply Chain Development.
KNOWLEDGE / EXPERTISE / MINIMUM QUALIFICATIONS
1.  Good organisational and administrative skills, including the ability to work to tight deadlines.
2.  Excellent communication skills.
3.  Educated to at least GCSE level with good skills in mathematics and English language.
4.  Proficient in Microsof Word, Outlook and Excel essential - in Access desirable but not essential.
5.  Experience of organising and managing events would be desirable but not essential.
OTHER ATTRIBUTES / KEY SKILLS/COMPETENCIES
1.  Excellent IT skills, including spreadsheets, word processing applications. Knowledge of Agresso accounting system would be desirable but not essential.
2.  High level of attention to detail.
3.  Flexible approach to work, including the ability to recognise a need and act on it.
4.  Good interpersonal skills.
5.  Comfortable with working with both office and home based colleagues.
