Position: Donor Database Associate

Reports to: Vice President, Finance

Type: Full Time, Permanent, Non-Exempt Position

Summary

The Mission of United Way Monterey County (UWMC) is to engage the community and focus resources to improve lives in Monterey County. The Finance Department is charged with the accounting and financial reporting to support the mission and all the organization’s activities. The Donor Database Associate is responsible for the management of the Andar database software system involving data entry, pledge processing, payment processing, donor acknowledgement as well as operational and financial administrative functions.

Scope of Work

·  Manages the Andar database, maintaining the integrity of the constituent data base with detailed information as well as quality assurance.

·  Assists the Resource Development department with analysis and prepares reports regarding mail merge, direct mail, constituent data management, and queries.

·  Reviews all data entry for quality assurance.

·  Responsible for the completion of special projects (i.e., CFC brochure preparation, data entry and database analysis to capture donor giving history

·  Assures accuracy by working with the IT department (UPIC) to achieve detailed and accurate data for each donor record as needed.

·  Input of pledge revenue and pledge payment into database.

·  Supports the Vice President, Finance in the reconciliation of donor records, pledges and payments.

·  Assist in the preparation of letters, invitations and other correspondence as requested.

·  Facilitates donor relations with thank you letters and phone calls and receipt exchanges.

·  Following input of donor records and gifts, complete merge of information to produce thank you letters in a timely manner, obtain signature and mail.

·  Preparation of Deposit Summary, and cash receipts journal

·  Performs other duties as assigned.

Qualifications:

·  Ability to communicate effectively with individuals, co-workers and supervisors (verbal and written).

·  Must encompass professional demeanor.

·  Ability to define problems and draw valid conclusions

·  Ability to interpret instructions, gain knowledge and have initiative. •Detailed oriented and excellent time management skills

·  Computer literate (i.e. Microsoft Office Suite, Database management experience).

·  High School Diploma and two (2) years verifiable work experience in an administrative/clerical role with extensive data entry and customer service responsibilities. Experience in Andar software preferred.

Position Requires:

·  Self motivated, able to work independently, but as an integral part of a team.

·  Commitment to maintaining information confidentiality.

·  Proficient in use Microsoft Office Suite Applications with advanced knowledge of Microsoft Excel and willingness to learn fundraising database software.

Physical Abilities

·  Ability to sit at a desk in front of a computer for a long period of time also frequent bending, standing, and walking.

·  Able to lift, carry and transport a 35 pound box.

·  Must possess a valid driver’s license and a reliable automobile.
