Student Activities Committee (USAS SAC)

STUDENT INFORMATION FLYER COORDINATOR

DUTIES:

  1. Collect dates, times and locations of Student Orientation, Student Reception, and any other USAS sponsored student activities (ie. career seminar, tours, etc)
  1. Prepare a 1 page informative flyer in MS Word and get it approved by Student Liaison to the USAS Executive Board
  1. Mail a hard copy of flyer to John Cooksey requesting that he print copies of the flyer to have them placed in student packets by student worker coordinator.
  1. Arrive at conference early on registration day to post flyers at prominent strategic places in conference area for student viewing.

STUDENT ROOM-MATE SERVICE COORDINATOR

DUTIES:

  1. Collect student names, sex, address, phone, university, and email information.
  1. Match students (same sex) wanting roommates to share hotel costs with while at conference.
  1. Provide students with each other’s phone/email and opportunity, if it exists, to use one of the student designated discounted rooms.
  1. Provide roommate match data to Student Liaison to the USAS Executive Board
  1. Find out from John Cooksey and Student Free Room Coordinator the # of discounted rooms available to students.

STUDENT WORKER COORDINATOR

DUTIES:

  1. Assist John Cooksey whole day on set up day

-on site student worker check in

-job coordinator with AA staff on-site

  1. Receive student requests for work and match them to the work staffing needs John Cooksey sends you (you may need to contact him for this information)
  1. Keep in contact with Student Liaison to the USAS Executive Board and John Cooksey
  1. Check on staffing of student worker positions on-site.
  1. Pays $11.00/hr (as of AA 2000)

STUDENT QUESTIONNAIRE ADMINISTRATOR

DUTIES:

  1. Gather existing questionnaires (from conference and web page)

-student info (name, email, address, etc)=questionnaire 1

-student opinions on SAC=questionnaire 2

  1. From questionnaire 1, compile address/email list and add to existing list (indicating the year added) each year
  1. From questionnaire 2, compile a response summary (include date compiled)
  1. Submit both compilations to Student Liaison to the USAS Executive Board and SAC Chair Board Member for evaluation
  1. Update Student Questionnaires 1 and 2 each year and submit to Student Liaison for evaluation.
  1. Have Juliette Massey print questionnaires to bring to conference for pick up by Student Liaison at USAS board meeting and placement in student packets.

FACULTY AND STUDENT EGROUP COORDINATOR

DUTIES:

  1. Look up universities and institutions that are present at AA conferences
  1. Contact a faculty member there (at the institution) and request that they be a faculty liaison to students at their institution about USAS student benefits and activities
  1. Send faculty member reminders about student benefits and activities by email, twice a year to begin with
  1. Set up e-group available to members of the USAS (especially faculty members, USAS students, Student Liaison to the USAS Executive Board, USAS SAC Chair Board Member, and yourself)
  1. Post Student Benefits and activities information, reminders about upcoming deadlines, activities, conferences, etc. on e-group

USAS STUDENT WEB PAGE ADMINISTRATOR

DUTIES:

  1. Collect web page information from appropriate SAC members (in MS Word format)
  1. Work with Student Liaison to the USAS Executive Board to develop web page items
  1. Submit to Student Liaison for approval and then to Kevin Fitzsimmons for submission to website
  1. Update 3 times per year.

STUDENT SEMINAR COORDINATOR

DUTIES:

  1. Confirm speakers

-preferably new speakers each year

-speakers must attending the conference (can not pay for

them to attend and speak)

  1. Confirm date and time of seminar with John Cooksey
  1. Send speakers information sheet on presentation details (i.e. topics to cover in presentation, length of presentation, etc.)
  1. Have speakers submit title of presentation and short abstract to you
  1. Update seminar handout each year which includes schedule of speakers, abstracts, space for suggestions on ideas for next years seminar, etc.)
  1. Compile each speaker’s information and email it to John Cooksey and Student Liaison to USAS Executive Board. Keep copies of all correspondence.
  1. After conference, mail a thank you note on University letterhead to each speaker.

CONFERENCE STUDENT INFORMATION COMPILER

DUTIES:

  1. Work with Juliette Massey and John Cooksey to get statistics from conference
  1. Get numbers of conference student attendees

-total students

-number of USAS student members

  1. Get number of student presenters

-total students

-number of student oral presentations

-number of USAS members

-number of student poster presentations

-number of USAS members

  1. Compile student award winners (abstract and presentation) names and titles of projects for present and previous years since AA 1996 (Arlington, TX)
  1. Submit information to Student Liaison to the USAS Executive Board

STUDENT LIAISON TO THE USAS EXECUTIVE BOARD

DUTIES:

  1. Student Orientation organization and presentation (with USAS SAC board member)

- students must hand in questionnaire 1 at orientation

-send out thank you letters to presenters

  1. Student Reception organization

-menu with John Cooksey

-identify time, date, and location

-presentation of SAC member certificates

-present USC student benefits information

-students must hand in questionnaire 2 at reception

-hold SAC meeting at the conference to assign duties to SAC members

  1. SAC member Certificates (with USAS President signing and Juliette Massey printing them)
  2. USAS “Student Matters” Newsletter Article twice a year

-submit to Bonnie Brown (NL editor)

  1. Post Conference Student Activities Report (may be included in NL article and emailed)
  2. USAS Student Benefits Letter (update yearly)

-may be included in November NL article

-included on e-group and web page

  1. Be actively involved in WAS as a WAS SAC Member and assist Bonnie Brown with WAS magazine student articles.
  2. Coordinate and manage SAC members and duties.
  3. Attend all USAS Board meetings at Conference and participate in USAS Conference call meetings.
  4. Attend the USAS business meeting at the Conference.

USAS COMPLIMENTARY STUDENT ROOM(S) COORDINATOR

REQUIREMENTS: USAS MEMBER, NON-STUDENT

DUTIES:

  1. Contact John Cooksey to determine number of complimentary rooms available, hotel and dates of room availability. Normally 4 rooms will be available (2 rooms for females and two room for males). There will be four students to a room.
  1. Collect interested student names (include email addresses, phone #, university affiliation, sex, title of paper presenting at conference or student work position at conference, etc).
  1. The Student Liaison to the USAS Executive Board is always guaranteed a spot in one of the complimentary rooms.
  1. The second Monday of December, hold a lottery drawing with all names of one sex in a “hat” and draw winners until spaces in free rooms are full. Students presenting papers at the conference will be given first priority, followed by student workers at the conference, and finally, student conference attendees.
  1. Students will be segregated to rooms based upon sex (ie. all females in one room and all males in another)
  1. Send names and information of students awarded complimentary rooms to John Cooksey and Student Liaison to the USAS Executive Board.
