REPORTS TO:Director of Department of Public Works andDepartment of Public Works Manager

SUPERVISES:None

SUMMARY DESCRIPTION OF DUTIES: Responsible for performing a variety of secretarial, administrative, bookkeeping, and clerical duties for the Public Works Department.

JOB LOCATION AND EQUIPMENT USED: Work is performed primarily in the office. Office work involves the use of a telephone, calculator, computer terminal,photocopier, fax machine, and postage machine.

ESSENTIAL FUNCTIONS:

  • Performs receptionist duties for the Department of Public Works;
  • Processes invoices and purchase orders for all departments that fall under

the Department of Public Works (Department of Public Works administration, Highway, Town Hall andAnnex,Other Town properties, Sewer, and transfer station);

  • Maintains invoices and purchase order files and reports;
  • Prepares daily correspondence files;
  • Processes reimbursement and rebate checks for deposit;
  • Provides accurate responses to inquires from Residents and other Town Departments; and
  • Performs related duties as necessary, appropriate, and as assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of modern office practices and procedures;
  • Thorough knowledge of and ability to accurately perform business arithmetic,Including addition, subtraction, multiplication, division, percentages, and fractions;
  • Familiarity with basic bookkeeping procedures and practices;
  • Ability to read and interpret computer screen displays and printouts;
  • Manual ability to use a computer keyboard, a calculator keypad, computer printers,photocopiers, fax machines, and electronic mailing equipment;
  • Ability to bend, stretch, and lift to load, align, and retrieve documents;
  • Ability to communicate effectively with the public and coworkers; and
  • Ability to establish and maintain effective and cooperative working relationships withother Town Departments and other public and private entities.

MINIMUM REQUIREMENTS:

High school diploma;

One year bookkeeping experience; and

Valid driver’s license.

SPECIAL CONDITIONS:

Successful passage of a pre-employment physical, including tests for drugs, may be required as condition of employment with the Town of Wilton and
