Title:Front Desk Representative

SUMMARY

The Front Desk Representative is responsible for providing customer service by greeting customers as they enter the facility, conducting facility tours, receiving and directing phone calls into the facility. Also responsible for monitoring all access into facility, handling program registration, admissions, Point of Sale transactions and assisting in the cleanliness of the front desk area and lobby.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Superior customer service to all patrons as they walk into facility by greeting and welcoming them, answering questions and providing answers as needed.
  2. Ensure facility is kept neat and clean throughout shift by picking up trash, general cleaning of tables/counter top surfaces.
  3. Wear City uniform, keep neat and clean.
  4. Know procedures for first aid and emergencies, including necessary paperwork and administer first aid when appropriate following appropriate Emergency Action Procedure (EAP).
  5. Provide excellent customer service and maintains effective relationship with fellow workers.
  6. Knowledge of aquatic centers programs offered and how to upsell.
  7. Responsible for daily inventory of retail sales items sold and on display in facility.
  8. Open/close front desk area necessary following proper procedures. Ensures that building is empty and secured when closing at night. Opens and closes desk operations including lights, computers, copier, materials, and supplies.
  9. Open/Close out cash, count money, complete daily cash reports and submit money collected and documentation to supervisor.Accountable for the daily start up and accounting for transactions throughout shift.
  10. Maintains inventories of office supplies and keeps Aquatic Manager informed of needed supplies.
  11. Responsible for set up / clean-up of birthday parties with the assigned Lifeguard Host/Hostess
  12. Take registrations for swim lessons, aquatic programs, birthday parties, retail sales, memberships and daily admissions.
  13. Will have to make sound decisions in selling items, answering questions regarding facility and programs.
  14. Complies with facility rules, policies and procedures.
  15. Maintains flexibility to work various shifts to include weekends and holidays.
  16. Perform other duties as assigned.

SUPERVISION RECEIVED

Works under the direct supervision of the Assistant Aquatics Manager and/or Aquatics Manager.

DESIRED MINIMUM QUALIFICATIONS

Education and Experience

  1. Must be at least 16 years of age.
  2. Ability to communicate effectively with public and co-workers.
  3. Must be able to make sound decisions on a daily basis.
  4. Must have CPR, First Aid or be able to obtain with 60 days of hire.
  5. Cash handling experience preferred.
  6. Knowledge of computers, phones and basic office equipment such as fax, copier, calculator and credit card machine preferred.

  1. Ability to verbally and effectively communicate with City staff, general public and outside vendors.
  2. Ability to multiple task and handle stressful situations.
  3. Ability to understand and carry out written and oral instructions.
  4. Ability to accurately record and maintain records relating to inspection and maintenance activities.
  5. Ability to establish effective working relationships.
  6. Ability to work independently and to complete daily activities according to work schedule.
  7. Ability to meet the Physical Demands and willingness to function in the work environment as listed.

Personal computer, telephone, copy machine, fax machine, printer, calculator.

PHYSICAL DEMANDS

Must be able to frequently bend, walk, kneel, stoop, reach and lift in performance of duties. Will be required to assist in lifting and moving tables and chairs. The ability to talk and hear via the telephone and through face-to-face communication is needed. May be required to utilize cleaning materials and have contact with various chemicals for duties such as mopping, cleaning windows, and vacuuming.

WORK ENVIRONMENT

The work environment is in and around water and slippery surfaces with exposure to noise, fumes and hazardous chemicals. While performing the duties of this job, the employee occasionally works near moving mechanical parts. The employee occasionally works in high, precarious places and is occasionally exposed to wet and humid conditions, fumes or airborne particles, and toxic or caustic chemicals. The noise level in the environment is often noisy and loud.
