Time Entry – Hourly Employee

Overview

Hourly employees are required to enter hours worked through online time entry. Time reported for hourly employees is called positive time because they enter hours for every hour worked. The types of time available for you to enter is dependent on your collective bargaining unit or type of employment.

Time must be reported on a semi-monthly basis through your timesheet.

Access

Any employee active in an hourly position will have a timesheet available through PAWS.

Navigation

  1. Navigate to
  2. Enter your usask “NSID” and password to logon.
  3. On the left navigation box expand Employee and select My Employment, then the click on the Time Reporting link on the right.

Time Summary View

The Time Summary view provides a list of your timesheets. You will have access to the previous four pay periods (for time corrections) as well as the current pay period and four future pay periods.

The Time Summary view displays the following columns:

  • View/Edit – clicking this link will launch the timesheet detail which will allow you to view or edit your exception time
  • From Date – the start date of the pay period
  • To Date –the end date of the pay period
  • Time Type – there will be a separate row for each type of exception time entered for the period. Hours across the pay period will be summarized by type. By default you will always see a row for RegPosHr to declare regular work hours.
  • Time Reported – the number of hours reported within the pay period for the time type

Timesheet Detail

  1. Click on the link to the left of the pay period you wish to enter time. The timesheet detail page will be displayed. The header of the timesheet will display the following information:

a)Pay period start and end date

b)Timesheet Status

c)Dept– the name of the department

d)Job - the name of the job

e)Rate – the hourly rate of the job

f)EmplRcd– the sequence number of the employee record

g)Status - the job status

h)Supervisor - supervisor name

i)Fund Description – the description of the fund paying the job

j)Activity – identifies the activity code for the job. This may aid in identifying the correct job to log your time under in the event that you have multiple jobs.

Note: If you have multiple jobs please review the information within the header to ensure you are entering your hours against the correct job for the work being paid.

  1. Add any time worked in the appropriate date field(1,2,3,4), enter any comments specific to the time entry (5) andclick the (6) button. This will submit the time to your supervisor for review and approval. Time entry can be submitted to your Supervisor on a daily, weekly or semi-monthlybasis.Click to return to the main page after you have entered and submitted your time.
  1. As soon as your timesheet is submitted, any changes will be reflected on the Time Summary page.
  1. All changes and comments entered are reflected in the Comments/Submission History section in the Time Detail page. Anyone with access to the timesheet (yourself, your supervisor and your department’s timesheet administrator) will see all comments and actions.
  1. If the hours entered into your time sheet exceed the regular work hours defined for your position, your overtime hours will automatically be recognized and a separate overtime line created. You will not be able to edit any auto-calculated premium time on the timesheet.
  1. You will be able to submit your timesheet multiple times during the pay period. So refer to the Legend dropdown list for complete description of the color codes to aid in identifying what status your time entry is in. Note: Only hours in an Approved state at the submission cutoff (the last day of the pay period) will be paid.
