CAMPUS POLICEEVENT GUIDELINES AND RESTRICTIONS

Exhibitor Information

An exhibitor booth is free and open to campus organizations, clubs, and departments and local community organizations and agencies to display program information and resources. Local community organizations and agencies (“Exhibitors”) that participate can display program information andoffer free services on health, wellnessand safety to the community. A representative must be in attendance at all times.

Set up and equipment: Each Exhibitor will have one six foot table and two chairs provided. If requesting more tables and chairs, kindly note this on the registration form.

Space assignments: Booth spaces are on a first come, first serve basis. The exceptions will be for those who require electricity and/or activities that require extra space these Exhibitors will have their organizations identified on the table on the night of the event. One designated Exhibitor for each table only.

Electricity/outlet: upon request. Please note this on the registration form. If you are providing a generator for your space, please use the whisper type (quiet motor).

Materials and displays: Displays, handouts and literature should describethe Exhibitor’s programs and/or services. Keep displays safe for attendees (i.e. won’t fall and/or break). Free giveaways are also encouraged (please review Restrictions below). Outdoor events may require extra support on freestanding and tall displays should it be windy.

Activity: An activity in an Exhibitor’s booth space is optional--but encouraged. An Exhibitor should consider an activity that will be fun and interactive with educational undertone of sexual assault awareness. Resources may be found at website (Sexual Assault Awareness Month (SAAM) 2016 Resources

Confirmations: A confirmation notice along with instructions and map will be sent via email to each Exhibitor withinabout one week after UTSA receives the registration form. Each Exhibitor should carefully review all contact information on the formfor accuracy prior to sending it to the UTSA Police Department.

Restrictions

1. The event planning committee reserves the right to reject inappropriate decor, displays, materials,individualsor Exhibitors from the event.

2. Absolutely no selling of goods and/or services will be allowed.

Pursuant to the University of Texas System Rules and Regulations of the Board of Regents, Series: 80103’s definition of Solicitation, UTSA does not endorse any one particular exhibitor or their services.

Solicitation: means the sale, lease, rental, or offer for sale, lease, rental of any property, product, merchandise, publication, or service, whether for immediate or future delivery; and oral statement or the distribution or display of printed material, merchandise, or products that is designed to encourage the purchase, use, or rental of any property, product, merchandise, publication, or service; the receipt of or request for any gift or contribution; or the request to support or oppose or to vote for or against a candidate, issue, or proposition appearing on the ballot at any election held pursuant to State or Federal law or local ordinances.

3. Absolutely no distribution of food and beverages unless authorized in advance and in writing by the UTSA event planners. Food permits will not be issued. Wrapped candy and bottled beverages will generally be allowed; However, food and beverages that will not be allowed include: those that contain alcohol, stimulants or depressants and those that make claims to improve health, to assist in weight loss, to boost or increase energy, to burn fat, or to provide nutritional supplementation.

4. Sharing of one Exhibitor’s booth with another organization or group is not allowed.

5. Only approved and confirmed agencies, clubs, departments, and organizations will be reserved a space in an Exhibitor’s booth. Therefore, groups who do not submit a registration form in advance will not be allowed to participate on the day of the event.

If UTSA in its sole discretion determines that any Exhibitor is not following any of the above guidelines or is displaying or distributing any objectionable or deceptive information, the Exhibitor may be removed from UTSA’s premises and may be prohibited from participating in future UTSA Police Department sponsored events.
