RMIT Business

RMIT Business is one of the largest Business Schools in Australia and is based at 239 Bourke Street in Melbourne’s Central Business District. Established in 1944 it is now the largest Faculty at RMIT University with around 480 staff working with approximately 19,500 students in Australia and overseas. The School of Accounting and Law

The School is one of the largest accounting schools in Australia with an annual operating budget of approximately $14 million, and in excess of 2,600 students and around 80 staff. The School aims to be recognised as the leading Australian business school in the accounting and law disciplines.   1. JOB SUMMARY

The School Receptionist/Administrative Assistant’s responsibilities include reception duties, word processing and the provision of administrative support for the staff and clients of the School of Accounting and Law. The applicant is required to work as part of the School reception team to provide services to both Higher Education and VET students and staff.

  1. REPORTING RELATIONSHIPS

This position reports to the Student Services Co-ordinator.

6.SPECIFIC ACCOUNTABILITIES

Position Accountabilities

  • Provision of prompt, efficient, informed and courteous reception services to all clients of the School.
  • Timely and accurate service to students and staff.
  • Assist in the creation and maintenance of School documents and filing as required.
  • Answer telephone and queries from students and the general public and, where appropriate, to direct enquiries to others in the School as well as other areas in the Faculty and the University.
  • Assist in the administration and processing of student forms, including award applications, special considerations, and other related activities as directed.
  • Monitor the usage and ensure the maintenance of the photcopiers, the facsimile machine and other office equipment within normal operating hours.
  • Assist with enrolments as directed.
  • Undertake photocopying and printing requests.
  • Sort and distribute mail deliveries to and from the School and arrange couriers.
  • Monitor use of and maintenance of stationery and other office supplies.
  • Maintain office equipment including liaison with outside suppliers and maintenance contractors.
  • Maintain School kitchen areas and meeting rooms.
  • Liase with the Faculty Student Administration Unit and the Faculty Office as required.
  • Be responsible for the booking of the School’s meeting rooms.
  • Assist with ordering of catering, and setting up rooms for meetings as required.
  • Contribute to the professional appearance and security of the general office area.
  • To undertake other relevant duties as required by the Student Services Coordinator.

Corporate Accountabilities

To contribute to the strategic direction setting and policy making processes of the University and the School by participating in key Faculty, School and University forums and undertaking specific School projects/tasks.

Personal Development

To assume joint responsibility for career development by actively participating in various activities (mentoring, job rotation, secondments and joint group projects) and producing a jointly agreed development plan identifying key areas which will assist in your personal and professional development. These activities should be consistent with the School’s Strategic goals.

7.QUALIFICATIONS

Mandatory:A pass at VCE level or equivalent. Ability and experience in using Microsoft word, Powerpoint, Excel and similar

wordprocessing and software packages.

Preferred:Previous reception experience within a similar tertiary education environment, would be desirable for this position.

  • Demonstrated interpersonal skills and a “service” attitude.
  • Excellent oral and written communication skills.
  • Ability to prioritise tasks from a number of different originators.
  • Proven ability to work with minimum supervision with the University,

Faculty and School’s administration policies.

  • Accurate and professional word processing skills.
  • Experience with computer systems Microsoft word and associated applications as listed previously.
  • Ability to undertake additional computer training to meet changing University requirements.

9.OTHER RELEVANT INFORMATION

The position may be required to work in other areas of the School in the absence of colleagues, and/or outside normal business hours, as requested by the Administration Manager.
