Community Center Rules Regulations and Usage Fees

Rules and Guidelines for Use of Community Center (CC)

  • Member(s) must be current with Shavano Rogers Ranch Swim Club annual dues
  • Member(s) must be 21 years of age or older to rent CC
  • Member(s) must be present at CC at all times through event
  • Member(s) may not rent CC no more than 90 days in advance
  • CC Rental Form must be filled out entirely, dated and signed
  • Fees & Deposits must be paid at time of reservation
  • Member(s) cannot rent CC less than 7 days in advance
  • CC Rental Form must be filled out entirely, dated and signed
  • Fees & Deposits must be paid at time of reservation
  • Member(s) cannot schedule more than 2 events within a 90 day period
  • CC is to be used for private, invitation-only events
  • NO “open invitations” or “open to the public” events allowed
  • NO garage or open house sales or allowed
  • NO public advertising for events allowed
  • NO signage in Rogers Ranch or off premise advertising of event is allowed
  • Directions to CC need to be part of invitation if inviting outside guests
  • NO pets or animals (petting zoo, etc.) allowed on premises
  • If event is or runs past 6:00 PM, then you must give the gate guard on duty a list of invited guests
  • Event may occur between the hours of 8:00 AM and 12 Midnight, but will be limited to 5 hours
  • Maximum Occupancy of CC is 75 persons (fire code)
  • All events are subject to approval by the Shavano Rogers Ranch Swim Club Board of Directors
  • The Shavano Rogers Ranch Swim Club Board of Directors has the right to terminate any event at any time

Fees & Deposits – Payable to ShavanoRogers Ranch Swim Club, Inc.

  • Usage Fee is $75 per event
  • Refundable if cancelled 7 days prior to event
  • Damage Deposit is $125 per event
  • Refundable if there are no damages
  • Cleaning Deposit is $125 per event
  • Refundable if no further cleaning is required
  • Deposits will be mailed back to Member(s) if there are no damage or cleaning expenses

Cleaning

  • Cleaning list will be provided at time of key pick up
  • If Member(s) elects not to clean up after event, then member shall forfeit total cleaning deposit
  • If cleaning expenses exceed the amount of Cleaning Deposit, then Member(s) will be assessed the remaining total through their Shavano Rogers Ranch Swim Club dues for the current or upcoming year

Damages

  • Member(s) will forfeit any part or all of the Damage Deposit if any reported damages to the CC and surrounding facility occur
  • If damages exceed the amount of Damage Deposit, then the remaining total will be assessed through the Member(s) Shavano Rogers Ranch Swim Club dues for the current or upcoming year

Set Up & Clean Up

  • Member(s) must be present at all times during Set Up, Event and Clean Up
  • Set Up time is 3 hours before actual reservation of event
  • Clean Up will take place immediately upon completion of event
  • Member(s) must provide cleaning supplies
  • All garbage must be removed from CC to Member(s) home for disposal
  • All lights and electrical equipment must be turned off before leaving CC
  • Turn off air conditioner or heat before leaving CC
  • CC must be locked before leaving premises

Key Pick Up and Key Return

One day prior to event, Member(s) may pick up the key to the CC at AMS (above)

  • Member(s) must return key to AMS the next business day after event
  • If no key is returned, then Member(s) will forfeit both Cleaning and Damage Deposits

Additional Community Center Rules

  • All Children under the age of 18 must be accompanied by an adult at all times
  • NO smoking permitted inside CC
  • NO person(s) with wet feet or clothing permitted inside CC
  • All trash must be disposed of properly
  • CC must remain neat and clean at all times
  • All chairs and tables must be put back into the storage room where they belong
  • All food items must be removed from refrigerator and CC upon completion of event
