As part of this application, we understand:
- The library is responsible for:
- Purchasing a MARCReport subscription. This can be done through RAILS/PrairieCat for discounted pricing. (One time initial cost of $293 with annual cost of $85*)
- Maintaining the software through a software maintenance subscription and the associated annual costs.
- Supporting and providing needed tools and support for the MARC-Lite cataloger.
- The library staffer is responsible for:
- Participating in PrairieCat cataloging meetings, as scheduled.
- Adding bibliographic records to the PrairieCat database for which they have performed copy cataloging on and processed through MARCReport under PrairieCat staff supervision.
- Keeping and submitting statistics on the work done/records processed and sending said statistics to PrairieCat staff monthly.
- Assisting with database clean-up, as requested to maintain the accuracy and consistency of the PrairieCat database.
Guidelines for PrairieCat MARC/MARC-LITE Library Staff
Competencies and Participation
These guidelines apply to an individual who is doing the work in Connexion and preparing the file for download to PrairieCat from OCLC, and does not apply to all staff at the MARC/MARC-Lite library.
MARC-Lite:
- Must regularly attend and participate in the PrairieCat Technical Services Committee meetings.
- Must be subscribed to the PrairieCat Technical Services Users Group (TSUG) email list, at a minimum.
- Must be familiar with the PrairieCat Members website and the user’s group documents on said site. Including, but not limited to, the TSUG Policy & Procedure Manual , the PrairieCat Circulation Users Group (CUG) Policy & Procedure Manual and all applicable appendixes.
- Must have a working knowledge of the ILS staff software and have attended a PrairieCat Cataloging Item Entry and Cataloging II class.
- Must have successfully passed the Illinois Statewide Cataloging Standards Barcode test.
- Must be familiar with the basics of a MARC record.
- Must be familiar with AACR2/RDA cataloging rules.
- Must be familiar with OCLC Bibliographic Formats and Standards.
- Must be familiar with the online tool for reporting errors found in PrairieCat and WorldCat.
- Must have a general understanding of the role Authority Control records play in the database.
- Must complete an OCLC Cataloging with Connexion training session appropriate to your library.
- Must have a subscription to MARC Report and run all records through the software (not paid for by PrairieCat. If possible we will negotiate a discount with TMQ for MARC-Lite libraries).
- Authorized to add bibliographic records which they have performed copy cataloging on and processed through MARCReport to the PrairieCat database for their library under PrairieCat staff supervision.
- Allowed to upgrade and load Level 3 records under PrairieCat staff supervision.
- Allowed to create and load original records into the database under PrairieCat staff supervision.
- Allowed to do work (clean-up, merges, etc.) on behalf of the consortium under PrairieCat staff supervision.
- Allowed to overlay bibliographic records under PrairieCat staff supervision.
- Libraries with MARC-Lite staff are not eligible for a PrairieCat fee credit (if one is instituted).
- MARC-Lite staff have to keep statistics on the work that they do for the consortium and send them to PrairieCat monthly.

- Must have a subscription to MARC Report and run all records through the software (costs of subscription paid by PrairieCat).
- Must have successfully passed the PrairieCat MARC test.
- Must demonstrate original cataloging competency, which will be determined on a case-by-case basis.
- Are authorized to add and overlay bibliographic records to the PrairieCat database
- Are authorized to upgrade and add Level 3 records
- MARC staff do database work regularly on behalf of the consortium: record clean-up, merges, holdings clean-up, authority work
- MARC staff can create and load original records into the database
- Libraries with MARC staff are eligible for a PrairieCat fee credit (if one is instituted) based on their level of work for the consortium
- MARC staff have to keep statistics on the work that they do for the consortium and send them to PrairieCat monthly
Responsibilities of PrairieCat MARC / MARC-Lite Libraries:
- In agreeing to be a PrairieCat MARC or MARC-Lite library, the library is assuming responsibility for working with PrairieCat contract staff and staff from the other MARC or MARC-Lite libraries to maintain the accuracy and consistency of the PrairieCat database.
- A MARC or MARC-Lite cataloger proactively looks for corrections or clean-up in the database in the course of their regular work, and assumes responsibility for completing corrections or clean-up not just for their library’s holdings, but for other libraries for the good of the whole database.
- After fulfilling all of the requirements listed above, a MARC or MARC-Lite cataloger is provided with a higher level of access to the PrairieCat database that allows them to make corrections and perform clean-up to bibliographic records and volumes and items for other libraries. The MARC or MARC-Lite cataloger accepts their higher level of access by acknowledging below that they will use these permissions carefully and consistently following PrairieCat policies and procedures.
As the library administrator, for the MARC-Lite application process to proceed I authorize RAILS/PrairieCat to purchase and to bill my library for _____ MARCReport subscription(s).
