Outreach and Enrollment Training
Tuesday, April 15th
Location: AARP Montana, Helena
9am – 5pm, with a group dinner at 6pm
Agenda and training notes:
9:00am – 9:40am Welcome, Introductions, Icebreaker
Olivia Riutta
· Introductions and Icebreaker
o Name, health center, Hi-low icebreaker?…
· Ground rules:
o Confidentiality, step-up/step-back, be present,
o Add participant ground rules for the day
o Write ground rules on white board and keep throughout the day
· Review goals for the training:
o Build a strong statewide network of O/E
o Review our work from the first round of open-enrollment
o Analyze what worked and what didn’t
o Dig deep into understanding insurance utilization and insurance protections for Montana consumers
o Brainstorm post-open enrollment work and create a draft workplan from April – November.
· Review agenda for the day, remind people of bathrooms, snacks, wi-fi, etc.
9:40am – 10:15am Where we ended up, a review of natl. & state numbers
Christine Kaufmann
· Christine will review the Montana O/E numbers, compare our numbers to CMS projections for Montana, compare MT to neighboring states, and the nation.
· We will cover assists, enrollments, events, number of people reached, etc.
· The goal is to give them a 10,000 and a 30,000 foot view of their work and to celebrate their achievements.

10:30am – 12:00pm What worked and what didn’t Round 1!

· 15 minute - Presentation of a best practice around in-reach (Libby or Riverstone in terms of tracking in-reach, mailing, etc.)
· 15 minute - Presentation of a best practice around outreach (Butte?)
· 35 minutes for plus/delta brainstorming activity
o Each health center group or other regional grouping will be given a list of areas that they need to analyze in terms of a + or a Δ.
o The list will include in-reach activities, outreach activity, and organizing and relationship building work.
o Why did the pluses work? Can we identify why the deltas didn’t?
o 10 minutes to report back to group on two things that worked and two things that can work once they get an overhaul.
· 15 minutes – Regional overview of what worked and what didn’t.

o Review story collection process and use

· After everyone has eaten, Olivia or Christine will present Monica with an award and thank her for her support of our O/E work

· Olivia will present Health Center Awards:
o Number of meetings to get to an enrollment
o Greatest % of health center population enrolled
o Highest number of enrollments
o Greatest numbers of “touches”
