Job Purpose:

The post holder will be responsible for leading on the analysis and provision of quantitative and qualitative data and monitoring and evaluation information about Whizz-Kidz service delivery. They will be responsible for all organisational Management Information and Key Performance Indicators relating to service delivery. They will maintain and improve the current suite of reports as well as respond to any ad-hoc requests for information. The post holder will also lead on database development, working with the Database Manager and Head of Operations Support to design and implement improvements and efficiencies.

Main Duties and Responsibilities:

  1. Management Information

1.1.Maintain, review and improvethe suite of routine Management Information reports about Whizz-Kidz service delivery across its clinical, young people’s and NHS service areas.

1.2.Produce monthly and quarterly Key Performance Indicator reports for the various areas of the business.

1.3.Develop corrective action plans as necessary to improve Management Information and Key Performance Indicators.

  1. Quantitative Analysis and Research

2.1.Analyse external and internal data about disability services, and make recommendations based on your findings.

2.2.Response to all ad-hoc requests for management information, data and outcomes information and manage the data requests mailbox.

2.3.Conceive of and produce research relating to Whizz-Kidz service delivery for the purposes of strategic planning.

2.4.Design and develop a suite of external datasets relating to Whizz-Kidz service delivery.

2.5.Support the development of a robust research context in which Whizz-Kidz operates, either through internal work or in partnership with external stakeholders.

  1. Monitoring and Evaluation

3.1.Establish and maintain systems for capturing data that measures progress against agreed outcomes for C&YP and CS departments.

3.2.Lead on monitoring and evaluation research, reviewing and selecting the best evaluative methods to meet the specific needs of each Young People’s service including Procurement and Service Delivery.

3.3.Design questionnaires, surveys, and other appropriate tools to carry out ongoing evaluation of the quality and impact of Whizz-Kidz’s Young People’s and Children Services.

3.4.Establish and maintain systems for capturing data that measures progress against agreed outcomes.

3.5.Analyse data generated by the monitoring and evaluation process, and report on findings to the Head of Service Delivery and the Director of Young People’s Services.

3.6.Ensure the timely management and production of evaluation plans, liaising and working together with colleagues where required.

3.7.Contributes to the achievement of results through primary research and analysis and effective monitoring of programme/project implementation.

3.8.Identify and report on any successes, challenges and trends or patterns that emerge from evaluation findings, to help inform the organisation’s future practice and development.

  1. Database development

4.1.Be responsible for assembling and publishing a progressive database management strategy aimed at ensuring the effective use of the Children Service’s Database (CSD), Purchasing Systems and other databases used within the charity and our CCG contracts.

4.2.Be responsible for developing and co-ordinating the implementation of system improvements in the CSD and other systems across Whizz-Kidz charitable and NHS work.

4.3.Chair the database user group, co-ordinate Whizz-Kidz super users and manage any actions arising from group meetings.

4.4.Work with the Database Manager and Head of Service Delivery to develop and improve the functionality of the Children’s Services Database.

4.5.Incorporate outcomes into the Children’s Services Database (CSD) to streamline the evaluation process and to effectively measure ‘distance travelled’ of service users.

  1. Service improvement

5.1.Lead on identifying ways of using data to understand and improve service delivery.

5.2.Work with Whizz-Kidz and NHS staff to ensure that efficient and effective management information processes are in place.

5.3.Be responsible for the framework of data management, quality assurance and evaluation of clinical service delivery.

5.4.Produce data for the therapist group and regional service delivery managers and support them in understanding how to use data about their work.

5.5.Lead on capturing time and motion data about clinical and customer service delivery efficacy, and where necessary develop and maintain new tools for effective data capture.

5.6.Review all internal monitoring tools and data capture methods in collaboration with key members of the Young People’s and Children Services Team.

5.7.Support the Young People’s Regional Service Co-ordinators to ensure the efficient and effective dissemination of all research findings.

  1. Training and support

6.1.TrainWhizz-Kidz staff members to use the databases effectively and consistently via one-to-one meetings, team briefings and information sessions.

6.2.Lead on ensuring and improving data quality across the organisation through regular scrutiny and review of data shared with stakeholders, commissioners and other interested parties.

6.3.Create and implement guidelines and training materials for colleagues to ensure accurate and relevant data is collected, and train staff in the use of the CSD.

6.4.Act as a focal point for disseminating and sharing data in the regions, coordinating information requests and documentation of best practice for internal and external sharing.

6.5.Set an organisational standard for data capture requirements, ensuring that Whizz-Kidz Trainers, Co-ordinators and any other relevant Team Members are collecting required data and consistently meeting the data quality standards.

6.6.Provide expert guidance, advice and support to teams across the organisation on monitoring and evaluating their projects and programmes.

6.7.Ensure best practice through developing a training programme on data collection and evaluation for staff.

  1. Financial and Purchasing

7.1.Produce monthly mobility equipment and other expenditure reports for the various areas of the business for both the charity and the CCG partnerships.

7.2.Develop financial management reports for use by service staff in Crystal Reports and be responsible for their maintenance and improvement.

7.3.Generate spend and accounting reports in Crystal Reports for the Head of Finance and Accounting Manager on an ad hoc basis.

7.4.Work with various stakeholders to drive savings and efficiencies across the organisation.

  1. Other

8.1.Be aware of the changing external environment to pick up on opportunities and keep abreast of current trends, circumstances or topical issues that will enhance our impact evaluation or the wider work of the charity.

8.2.Manage every research intern that is employed by Whizz-Kidz.

8.3.When required, to carry out any other tasks within the scope of the role to meet the needs of the charity as directed by the Head of Service Delivery and/or Director of Young People’s Services.

8.4.Support the fundraising and communications teams with any campaigns and bids through the provision of data, commentary and analysis.
