Purpose of the role

To coordinate all admissions services for the university, providing proactive line management and development of the Admissions team and being the lead contact for day-to-day admissions issues. The post holder takes a lead role in considering for approval, recommendations made on individual applications and contributes to the management and operation of the Admissions office, to ensure the successful handling of all applications within set deadlines. The post holder will advise, guide and make decisions on applications with varying levels of complexity, referring only formal appeals and complaints to the Head of Admissions and develops, maintains and implements operational procedures within the appropriate frameworks, to ensure compliance with relevant statutory regulations and guidelines.

The post holder will be responsible for prioritising and planning work activity for the year ahead, to ensure the Admissions team both work towards, and meet, specific admissions deadlines and to assist in achieving relevant conversion targets.

The Admissions Team Managerrole builds and maintains close, professional working relationships in particular with Schools, Academic Services, Marketing and Communications and the Strategic Planning and Partnerships Office, to ensure the successful, effective and efficient running of the Admissions service.

Line management responsibility for: a team of 10 staff, four Admissions Officers (G5) and six Admissions Assistants (G4).

Main areas of responsibility:

  • To manage the day-to-day operations and line management of the Admissions team, including allocating and prioritising work as appropriate, monitoring and managing individuals’ progress and performance and ensuring all aspects of the admissions cycle are completed by the Admissions team, within the set deadlines, from initial application through to enrolment;
  • To manage the co-ordination, development and implementation of efficient systems and procedures meeting high expectations of accuracy and quality and ensuring individual contributions are maximised;
  • To be the designated contact in relation to admissions issues ranging in levels of complexity, ensuring the delivery of excellent customer service, including the development and maintenance of good relationships with colleagues across the university, communicating complex and difficult information where required;
  • Representing the Head of Admissions and the university at internal and external meetings as required;
  • To lead on key admissions initiatives by reviewing, improving, implementing and continually monitoring existing processes and procedures;
  • To manage and co-ordinate high risk processes at key business times within the academic cycle;
  • To manage appeals and complaints at the informal stages to achieve early resolution, only referring cases to the Head of Admissions at the formal stages of appeal.

Please note that all staff within Academic Services may be expected to work specific weekends and outside of normal office hours (e.g. over the Confirmation and Clearing period, Open Days etc.). It should also be noted that during exceptionally busy periods (e.g. January – March, August & September) it may be necessary to restrict annual leave.

The post holder may additionally be asked to undertake other duties appropriate to the grade and character of work as may be reasonably required, including specific duties of a similar or lesser graded post

  • Any appointment is generally made at the bottom of the salary range for the grade dependent upon experience and previous salary.
