Invitation to Apply for Meet Dates and Leagues for period

1 January 2018to 31 December 2018

Dear Club Secretary or Meet Entry Secretary

In accordance with Scottish Swimming’s regulations on calendar planning, North District Swimming Committee is inviting you to apply for dates for your swimming meets and events for the period starting 1 January 2018 and ending 31 December 2018.

The relevant application form is attached and we would be grateful if you could complete and return any applications for meets in January by email to by Friday 7 July2017 at the latest. If this is not possible, please let me know.

For meets from February onwards, please complete and return any applications by Friday 18 August. Please complete one form for each meet you intend to hold that will require a licence to be issued.

Also attached is a draft calendar which covers the period in question.

Please note that licences will not be issued on dates when National and District swimming competitions are taking place, nor on the day of the STO Seminar. A licence will not be issued on the day of the North District AGM other than for an evening event. DRP dates do not preclude a licence being issued but a licence will not be issued to a club for an open meet that is aimed at DRP level swimmers.

Other potentially relevant dates are included in the calendar where these are known and the dates of meets held in the North District last year where these took place at weekends are available on a separate tab for reference. Please note that because a date was used last year by a club for a particular meet does not guarantee that this date will be allocated for the same meet this year, nor that the meet will be licensed to take place in the same place or with the same events for the same age groups.

All applications will be considered by North District Swimming Committee once deadlines have passed and where there is no conflict, clubs will receive confirmation that they may apply for a licence as soon as possible after that date. North District Swimming Committee will attempt to resolve any conflicts and any over or under provision through discussion and agreement between all involved clubs as soon as is practicable in August at which time a new calendar with approved dates will be published.

Notification that a date has been agreedas the result of the calendar planning process is not an absolute guarantee that a licence will be issued, nor that a meet can take place, as in special circumstances a change in National or District dates would take precedence.

For licence applications for period 1 January 2018 – 31 December 2018 that are received after any deadline, there will be no need to submit a Meet Application Form. Each licence application will be considered on its own merit in relation to the already published calendar.

Notes for League Applicants

One member club should be designated to apply for the league each season.

A calendar planning application should be made by this club in advance as required by Swimming Committee. This should include a list of all clubs participating in the League, the matches to be held and the date by which all the league matches will be completed. A cheque for £20 must accompany the application.

Once the League has been approved, individual licences for matches can be applied for (no charge) on a licence application form by the clubs named in the league once the date has been decided. A separate licence and number will be issued for each league match.

Each licence forms MUST be returned within 7 days after the Meet correctly completed and signed by the Referee or acting referee. Results are not required for Level 3 meets but a list of officials present must be included with the completed licence.
