TOPIC: ABSENCES FROM WORK

POLICY TITLE: PERSONAL TIME OFF, ABSENCE OF UP TO 70 HOURS AS DEFINED

POLICY STATEMENT

Personal Time off absence with pay up to the earned credit limit as approved by the employees supervisor and may be used for the following reasons:

- Illness or non-work related injury of the employee.

- Attending to the illness of dependant children, spouse or a person who fulfils a role similar to a spouse for the employee.

- Attending medical or dental appointments for self or spouse, dependent children, parent, parent-in-law, grandparent, sibling, aunt/uncle.

- Absence due to inclement weather as authorized by Employees Supervisor

- For bereavement purposes not covered or not adequately covered by the bereavement policy

ELIGIBILITY:

  1. All permanent full-time employees who have completed three months of service are eligible.
  2. All permanent part-time employees who are regularly scheduled to work 19 or more hours weekly and have completed three months of service are eligible.
  3. Personal times off credits are accumulated at the rate of one (1) day per calendar month up to 10 days or 70 hours.
  4. An employee must work at least half of the available working days in the first month of employment to be eligible for a credit for that month.
  5. Part-time employees accumulate credits on a pro-rated basis.

ACCRUAL OF PTO CREDITS DURING ABSENCES

  1. PTO credits continue to accrue during:

i) a pregnancy leave of absence up to and including 17 weeks;

ii) a parental leave of absence up to and including 35 weeks;

iii) an absence up to and including one year on Worker's Compensation;

iv) PTO credits do not accrue during a period of voluntary leave of absence.

(PTO) credits are non-cumulative from year to year. PTO credits will not be paid out at the time of termination of employment.

Home & Community Support Services of Grey-Bruce may request medical evidence prior to payment of benefits for any of the ten non-cumulative days for illness or injury.

Absences due to illness or injury for a period longer than ten days are covered under Employment Insurance sick benefits.

REPORTING & RECORDING:

  1. The employee must notify their team leader/supervisor immediately of illness or injury, and provide a medical certificate attesting to illness or injury, if required.
  2. The absence will be noted by the employee on the Hourly Timesheet (Form HR-6).
  3. The supervisor will ensure that PTO is accurately recorded for payroll purposes.
  4. When an employee is absent from work due to reasons which are eligible for reimbursement through PTO and they have PTO hours available they must utilize those hours up to their regularly scheduled hours per pay period.
  5. If the employee has been unable to report to work or complete their regularly assigned tasks while at work due to an injury, surgery or illness, whether or not the injury or illness was work related, they may be asked to have their physician complete form HR-28 Fitness to Work Evaluation prior to returning to work. HCSS will pay the fee charged to complete this form.
