RECEPTIONIST

REPORTS TO: Parish Business Administrator

PRIMARY RESPONSIBILITY: Performs sensitive and varied office functions, maintains office systems, schedules and monitors volunteers, supports Parish Business Administrator with selected accounts tasks, issues facility keys and manages petty cash.

NORMAL WORK SCHEDULE: Monday 8:00 am to 4:30 pm; Tuesday-Friday 8:30 am to 4:30 pm; 35-40 hours per week.

ESSENTIAL DUTIES:

  • Answer telephone in a professional, courteous manner. Screen and direct calls and take messages. Respect confidential matters.
  • Greet and screen visitors in a professional, courteous manner.
  • Process mass intention requests and collect stipends.
  • Coordinate Sunday collection count. Contact and maintain list of volunteer counters. Prepare collection counter schedule.
  • Maintain parishioner census through ConnectNow program.
  • Prepare sacramental certificates.
  • Prepare office supplies orders.
  • Sort mail.
  • Maintain office equipment.
  • Maintain online postage program and supplies.
  • Order holy day and other special cards, envelopes and posters as directed.
  • Prepare, update and distribute parish office phone, email, and emergency contact lists.
  • Perform duties of CSA Secretary.
  • Receive and process incoming payments and checks.
  • Post contributions to donor records weekly.
  • Reconcile bank statement for Needy Outreach Ministry and Snows Women’s Auxiliary
  • Prepare and mail special mass time schedules.
  • Coordinate mailings and inserts to the bulletin.
  • Close up and secure church at end of business day.
  • Prepare correspondence for Clergy and Business Administrator.
  • Process parish verification forms for Bishop Manogue High School.
  • Responsible for petty cash fund.
  • Other duties as assigned.

ESSENTIAL QUALIFICATIONS:

  • College or High school graduate with at least 5 years business office experience, preferably in a parish office.
  • Computer proficiency particularly in MS Excel and Word; working experience with other MS Office products, spreadsheets and databases.
  • Organized with strong attention to detail.
  • Good written and oral communication skills in English and Spanish.
  • Ability to meet deadlines.
  • Practicing Catholic.
  • Ability to pass Diocesan background check.
  • Ability and willingness obtain and maintain Protecting God’s Children certification.
