Exercise 6.1: Track Time and Print Paychecks

Scenario

When sorting through the payroll documents that Mr. Castle gave you, you find the following timesheets for Dan Miller and Greg Schneider.

Task 1: Restore Company File

Note: It is not necessary to restore if you already have the QBW file open from Chapter 6. Proceed to Step 6 to change the company name.

If your QuickBooks working file (.QBW) for Chapter 6 is not available, restore the backup file for Chapter 6 as follows.

Step 1:  Insert the backup disk.
Step 2:  Click Restore a backup file (or click File, Restore).
Step 3:  Identify the location of the backup disk and the backup filename: [your name] Chapter 6 Rock Castle Backup.QBB.
Step 4:  Identify the restored file:
§  Filename: [your name] Rock Castle.QBW.
§  Location: C:\Program Files\Intuit\QuickBooks Pro.
Step 5:  Click Restore.
Step 6:  Change the company name to: [your name] Exercise 6.1 Rock Castle Construction.

Task 2: Timesheet

Step 1:  Enter the hours Dan Miller worked using QuickBooks weekly timesheet.

Step 2:  Enter the hours Gregg Schneider worked using QuickBooks weekly timesheet.

Step 3:  Print timesheets for Dan Miller and Gregg Schneider.

Task 3: Print Paychecks

Step 1:  Create paychecks for Dan Miller and Gregg Schneider. Select Check Date: 12/24/2007. Select Pay Period Ends: 12/24/2007.

Step 2:  Print paychecks using voucher checks for Dan Miller and Gregg Schneider dated: 12/24/2007.

Task 4: Back Up Exercise 6.1

Back up Exercise 6.1 to a disk.

Step 1:  Insert the backup disk.
Step 2:  Click File, Back Up.
Step 3:  Enter the location of the backup disk and the backup filename: [your name] Exercise 6.1 Rock Castle Backup.QBB.
Step 4:  Click OK.
Step 5:  Click OK after the backup is complete.

Exercise 6.2: Transfer Time to Sales Invoice

Scenario

“By the way, did I mention that I need a current sales invoice for the Jacobsen Kitchen job? Make sure all labor charges have been posted to the invoice,” Mr. Castle shouts over the top of your cubicle as he rushes past.

Task 1: Restore Company File

Note: It is not necessary to restore if you already have the QBW file open from Exercise 6.1. Proceed to Step 6 to change the company name.

Task 2: Transfer Time to Sales Invoice

Step 1:  Click the Time/Costs button to transfer time data to a sales invoice dated 12/24/2007 for the Jacobsen Kitchen job.

Step 2:  From the Choose Billable Time & Costs window, click the Items tab. Click the Select All button to transfer subcontractors work to the invoice.

Step 3:  From the Choose Billable Time & Costs window, click the Time tab, then click the Select All button to transfer employee time worked to the invoice.

Step 4:  Print the invoice.

Task 3: Back Up Exercise 6.2

Step 1:  Insert the backup disk.

Step 2:  Click File, Back Up.

Step 3:  Enter the location of the backup disk and the backup filename: [your name] Exercise 6.2 Rock Castle Backup.QBB.

Step 4:  Click OK.

Step 5:  Click OK after the backup is complete.

Exercise 6.3: QuickBooks Payroll Services

To learn more about the payroll services offered by QuickBooks:

Step 1:  From the Business Services Navigator under Manage Your Employees, read about QuickBooks payroll options. Print information summarizing the differences between the QuickBooks Do-It-Yourself Payroll, QuickBooks Assisted Payroll, and QuickBooks Complete Payroll.

Step 2:  Using word processing or email software, prepare and print a short e-mail to Mr. Castle with your recommendation regarding which payroll service Rock Castle Construction should use.

Exercise 6.4: Web Quest

The IRS prepares a publication, the Employer’s Tax Guide that summarizes information about payroll taxes.

To obtain a copy of the Employer’s Tax Guide:

Step 1:  Go to the www.irs.gov web site, Forms & Pubs.

Step 2:  Select and print two of the following sections of the Employer’s Tax Guide, IRS Publication 15, Circular E:

§  Employee’s Social Security Number (SSN)

§  Employer Identification Number (EIN)

§  Wages and Other Compensation

§  Depositing Taxes

§  Percentage Method 1

§  Wage Bracket 3
