Job Title: Costing/Booking Administrator / Reporting to: Service Manager
Department: Service
/ Based at: North Oxford BMW

Purpose of the Job:

·  Ensure all health checks are estimated including upsell

·  Ensure all retail WIPs are invoiced before being presented to the service advisors

·  Maintain and gain authority through the 1 link system including invoicing

·  Answer incoming telephone calls and manage booking enquires

Main Duties:

·  Maintain and gain authority and bookings through the 1 link system

·  Maximise every invoice without overcharging

·  Ensure all retail invoices match estimates

·  Ensure all retail work is invoiced before being presented to the service advisors

·  Generate estimate for service advisors to follow up customers with amber work reported

·  Approve work order and ensure times allotted are not exceeded and that additional work is recorded accurately with the Workshop Manager

·  Close all Service Department Retail Invoices

·  Ensure all claimable/closable WIP’s are completed by month end.

·  Carry out any general admin duties as required for example filing, and banking

·  Ensure that the highest levels of customer satisfaction are maintained

·  To ensure all QMA quality processes and standards are maintained.

·  Prepare the diary at least 48 hours before.

·  Book customer vehicles into the diary via the kerridge system

·  Obtain maximum information require to carry out the work order

·  Booking of loan cars via Cooper Solutions managing the resource accordingly

·  Prepare the diary in advance and creating the job cards

·  Carry out any other duties as requested

Inter-dependencies:

·  Liaise with other department staff, company management and manufacturer

·  Liaise with lease and insurance company’s when required

·  Ensure all customer accounts invoices are posted on to customer

Limits of Authority:

·  Discounting jobs more than 5% unless prior authorised by a manager.

·  Any form of goodwill or rectification to be authorised by a manager before invoicing

Critical Skills:

·  Computer knowledge, KSD, Kerridge, 1-Link, S-Gate

·  Good communication skills

·  Attention to detail

·  Positive working attitude

·  Accurate timekeeping

Additional Requirements:

§  Full valid UK driving licence

§  Eligibility to work in the UK

Remuneration and Benefits:

·  Salary range is £18,000 - £20,000 per annum depending on experience

·  22 days Annual Leave plus bank holidays

·  pension contribution

·  Training and development.
