About the David RockefellerFund

The David Rockefeller Fund (the Fund) was established in 1989 by David Rockefeller and his wife Peggy to carry out their annual charitable giving in communities where they had homes outside New York City. In 2001, David Rockefeller expanded the Fund and invited his children and grandchildren and their spouses to take a more active role in the Fund with the idea of transferring to them the family’s philanthropic tradition. The DR Fund’s work provides a learning environment where family members are able to engage in dialogue and grant-making around shared topics of interest.

The DR Fund currently has three primary program areas: Arts, Criminal Justice, and Environment. The Arts Program focuseson cultivating, showcasing, and disseminating the stories of innovative art for social change; Criminal Justicesupports bold new ideas and policy proposals for transforming U.S. detention and incarceration policies; and Environmentsupports new ideas, initiatives, and policy breakthroughs in support of bipartisan U.S. climate leadership. In addition to the program areas outlined above, the Fund underwrites a number of initiatives designed to encourage family members’ individual philanthropic involvement and interests, as well as collaborative grant-making by the family.

Position Summary

The DR Fund seeks a Program Assistantwho will report to both the Program Manager and the Executive Director in supportingefficient grants administration, meeting coordination, travel planning, and management of the day-to-day administrative and operational support of our programs and operations.

The incumbent will oversee the initial receipt,and responses to, grant-related inquiries from current and prospective grantees. S/he will provide grant administration support that includes: reviewing submitted material for completeness; following up with grant seekers and grantees to complete files; and drafting responses to grant-seekers. Other responsibilities will include helping to maintain the electronic systems that support the Fund’sgrant-making efforts; and providing administrative, meeting,and travel support to the Executive Director and Program Manager.

The ideal candidate will have excellent interpersonal skills, the ability to manage myriad details with accuracy, and will be deadline oriented. S/he will perform other tasks as assigned by the Executive Director and Program Manager.

Key Responsibilities

Administrative Responsibilities

  • Assist Program Manager and Executive Director in making appointments and maintaining shared calendars.
  • Coordinate conference calls, travel arrangements, and events on behalf of the Executive Director.
  • Field telephone calls on behalf of the Executive Director.
  • Prepare expense reports.
  • Open, sort, and distribute postal mail and e-mails.
  • Provide administrative/logistical support for conferences and other convenings.
  • Provide other administrative support, as requested.

Program & Institutional Development Support

  • Serve as initial screen for grant inquiries.
  • Acknowledge, file, and distribute grant reports to Program Manager and Executive Director.
  • Assemble information related to potential grants.
  • Prepare forselect meetings with grantees and other organizations.
  • Help develop briefing books and other information to support program activities, including travel and meetings.
  • Assist Program Manager in preparation of relevant materials for dockets and board presentations.
  • Review and proofread dockets, grant reports, and other materials.
  • Interact with relevant Rockefeller Brothers Fund departments, as necessary.
  • Support Program Manager and Executive Director in executing social media strategy.

Data Management

  • Maintain address, telephone and email directories to facilitate communication with grantees and the Board, as appropriate.
  • Help create and maintain orderly files related to these responsibilities.
  • Prepare various reports as requested (e.g., grant status reports, program activity reports, allocations, etc.).
  • Perform other tasks as assigned by the Program Manager and Executive Director.

Qualifications

  • Excellent written, verbal, analytical, and organizational skills. Ability to draft original correspondence.
  • Ability to manage multiple tasks and projects with flexibility and detail orientation.
  • Abilityto prioritize, work under pressure and meet short deadlines.
  • Strong interpersonal skills, including the ability to be diplomatic, tactful, and professional, and to interact effectively with all levels of staff, trustees, and external parties.
  • Ability to develop and maintain broad knowledge of the Fund’s programs and operations, practices, policies, and procedures.
  • Strong knowledge of, and ability to use computer technology to efficiently accomplish work, using e-mail, the Internet, database management software, and Microsoft Office programs, including Word, Excel, PowerPoint, and Outlook.

Education, Experience & Knowledge

  • Bachelor’s degree in a relevant field.
  • Two to three years of administrative and/or program support experience.
  • Demonstrated interest in high-impactphilanthropy for social change and relevant programsareas.
  • Computer skills required.
  • Basic knowledge of web maintenance and social media (e.g. Twitter).
