RMIT Advertising Process

All advertising must be booked by the Science, Engineering and Health Marketing and Communications Team. Schools cannot negotiate cost or book advertising with any media outlets directly.

The following process will ensure all advertising uses correct language, style and design so RMIT’s brand is consistent. The SEH Team can offer you advice on ad copy, size, timing, frequency, media selection and how to best allocate budget.

NOTE: Recruitment ads, including research scholarships must be booked through People and Culture.

To place your ad, the following steps must be followed:

STEP 1
Complete the Advertising Request Form. Make sure you include the:
·  media channel
·  date
·  budget
·  size of the ad if possible
·  text
Send to / Timeline: this form must be submitted 10 working days before the publication date or deadline (if it’s a professional journal).
Advertising requests with less than 10 working days notice may not be looked at.
STEP 2
Amendments to your copy may be recommended to ensure it is consistent with RMIT’s style. Amended copy sent to you for approval. Please ensure that this is the final text.
Note: Changes further in the process may affect meeting the publication deadline and/or incurring additional costs.
SEH Marketing will send request to University Marketing who works with RMIT’s advertising agencies for media selection, media costs and to develop ad proofs. These are supplied back to SEH Marketing.
STEP 3
SEH sends you a PDF of the ad and cost.
This may happen at the same time or separately. If separate, you will receive costs first. / Timeline: Within 3 - 5 working days
STEP 4
Approval of cost/s required to book/secure the media space (send to SEH Marketing).
Check the PDF and send approval to SEH.
Note: Only unavoidable minor changes will be accepted at this stage or mistakes on the agency’s behalf. / Timeline: Approval required ASAP (this is influenced by the booking)
STEP 5
When cost is approved and ION provided, University Marketing books the media space. As a rule, the booking cannot be cancelled. / Timeline: Within 24 hours of receiving approval
STEP 6
If necessary approve the PDF after changes have been made. / Timeline: Within 3-4 hours
Step 7
Ad is dispatched to the publication / Timeline: ASAP of Step 6
