Preparing Report Cards

Reporting Parameters:

  1. Students that transfer out of a class five days prior to the end of a marking period will receive the marking period grades from the dropped teacher. This is a district setup.
  2. Teachers should not begin the process of loading grades until the day after a marking period ends. Starting this process prior to the end of a marking period may result in missing scores on the report card due to schedule synchronization.
  3. For the 2014-2015 school year, all grades and loading should be complete by the following dates: MP1 – November 10, MP2 – January 30, MP3 – April 3, and MP4 – June 11.
  4. For the 2014-2015 school year, the division will transition to the next marking period on the following dates: MP2 – November 12, MP3 – February 2, and MP4 – April 13. Teachers can update and reload grades for a marking period until the division moves forward to the next marking period.
  5. If a teacher makes changes to assignment scores after the grades have been loaded for report cards and the division has not moved to the next marking period, the teacher will need to reload grades. Reloading after changes are made will update the report card to reflect the new average and allow the new average to be used in the semester and final calculations.
  6. Teachers will have access to update assignment scores for any prior marking period. Once the division moves forward to the next marking period, however, teachers no longer have access to load for a prior marking period. If a teacher makes changes to any assignment that result in a change to a student’s numeric average in a prior marking period, the teacher must complete a grade change form and notify the office. Even if the student’s letter grade does not change the office must be notified or the new average will not be used to calculate semester or final grades. Only the office can load for prior marking periods once the division moves to the next marking period.

Prepare to Load Marks:

  1. Enter all scores for all assignments that will be included when calculating the marking period average in all courses.
  2. If necessary, enter scores for any missing assignments where you want to control how the assignments should affect the student's average.

Load Grades on the Report Card Page:

  1. FromGrade Reporting, selectCompetenciesto display the Competency Entry page.
  1. If you need to change to a different class, clickChangeto display the Class Listpop-up, and make your selection. ONLY select English, math, history or science courses.
  2. Clickto load the maximum gradebook score for each competency.
  3. Return to the Home page, clickReport Cardto the right of English.Teachers may choose to add comments for each course or under one course to be sure that every student has a comment.
  4. Click to enter free text comments for students.
  5. Click to spell check the free text comments.
  6. Click.
  1. ClickChangeto display the Class Listpop-up, select the next course and repeat steps 3 and 4. ONLY select English, math, history or science courses.

Updating the Kindergarten Checklist:

**These steps cover the process for updating the Kindergarten Checklist.

WARNING – NEVER hit the icon on this screen as it will wipe out the default grades. Once the default grades have been wiped out, the teacher will need to re-enter all grades for each student manually.

  1. From the Home page, click Competencyto the right of Kindergarten Checklist.
  2. Make sure the class is displayed in List view.
  3. All students have default Kindergarten Checklist grades of checkmark for all competencies. Update these grades to X for students that have not displayed satisfactory skills.
  4. Click.
  5. Navigate to the next student using the single arrow to the right.

Updating the Kindergarten Social Development:

**These steps cover the process for updating the Kindergarten Social Development.

WARNING – NEVER hit the icon on this screen as it will wipe out the default grades. Once the default grades have been wiped out, the teacher will need to re-enter all grades for each student manually.

  1. From the Home page, click Competencyto the right of Kindergarten Social Development.
  2. Make sure the class is displayed in Grid view.
  3. All students have default Kindergarten Social Development grades of S for all competencies. Update these grades to N for students that have not displayed satisfactory skills.
  4. Click.
