I. End of Year Review

  1. High School Guidance Counselor’s workshops December 6-10
  • The workshops sites were well attended.
  • Total Registrations for 2010 - 829. This is an increase of 43 over last year in total registrations and most registered earlier this year.
  • Expenses – All reimbursements have been submitted and Mike followed up with Executive Committee
  • Workshop Sites – See page 2
  • OASFAA Event Agreement – Worked well this year.

1. Things that went well

Feedback from surveys was very positive. Positive responses were that they loved the presenters. They especially liked the tag-team presenting at Xavier and Shawnee presentations.

2. Things we could do better

Negative responses included parking accommodations or signage for parking, temperature in room and earlier information on the workshop in general. Communication issues with workshop site coordinators and notification of the workshops. Address this with a database that the counselor’s can add their names to.

3. Recommendations for next year

  • Print materials early and send to Site Coordinator for each site
  • Secure sites immediately for next year’s workshops and ask for email confirmation and coordination of dates
  • Additional workshop theme for next year (this year we used “Professional Judgement”) – suggestion for next year is “IRS & Verification Data Match”

4. OCAN has a grant proposal out that if approved, will provide possible resources to…

  • Add a third co-chair
  • Add additional workshop sites
  • Provide a Webinar such as, ‘Train the Trainer’
  • Coordinate a Master Calendar to include the OASFAA event dates
  • Notify counselors to sign up for workshops
  • Possible guidance counselor track at OASFAA – The first 50 counselors to sign up to have their costs paid for by a scholarship

1. Last year’s articulation went well

2. Things we could do better

  • Provide report from presentation evaluations for counselor feedback
  • Contact sheets made it difficult to get someone to enter these into a database – suggest that we set up something that the counselors can go to in which to add their own email address and contact information. OCAN can help advertise this and counselors can be solicited to do this at Articulation.
  • Confusion on where tablecloths were – Request these get these to the site coordinator or presenters next year

2. Recommendations for next year

  • Prepare early for Articulation - Dates for next year are:
  • The OhioStateUniversity – 9/12
  • The University of Akron – 9/13
  • RhodesState College/OSU Lima – 9/14
  • XavierUniversity – 9/15
  • Check with Paula Gordon to see if she can create an online email subscription for counselors to add their email to a database. Include an unsubscribe option as well as a verification of email address feature. This should be set up to be able to print a report that will download into an excel spreadsheet to use when we are advertising to the counselor’s about registering for the counselor’s workshops
  • Print materials early and send to each site coordinator
  • Continue to use Contact Sheet (or postcard or magnet) with information on it to go to the OASFAA website to add their own name, email, school name.
  • Add two slides to the Articulation PowerPoint to announce adding their name to the database and to advertise the new theme
  • Coordinate the tablecloth with site coordinators and Regional Directors

  • Need a feedback mechanism set up
  • Making OSCA aware – put proposal in to show presentation
  • Review PowerPoint to see if any updates need to be made
  • Consider making this presentation a Video
