Old Business

·  NDUS EMPLID update – Hold For 9.2 Update

·  Scholarship Report (Deb) – ACT/SAT & Weighted GPA (Testing Updates)

o  Deadline for testing was December 15th

o  The updates included ACT Super score, SAT Super score (EVRE, CREA, CREAD, MTHS, MATH). MiSU and NDSU calculate a COMP score for the “old” SAT using CREA & MATH. At this time, no institutions, besides UND, plan to use super scores for either test. For now, this will remain in Stage.

·  Early Application Transcript – CTS is testing in DEV environment and Sheri is working on an extract.

·  Unresolved Projects/DRs for 9.2:

o  Process to Update Application Checkbox – NDU_0072_ADM – not sure if this report is working correctly, campus should report if they are using this report, and if it is working. CTS does not believe it is tied to institution. This will remain on the agenda.

·  Data Sources for ACT (updates on what Records Offices are using) - Needs to be entered as ACT (vs. Transcript) on Test Scores in order for scores to show on the transcript.

New Business

·  Perceptive Content: Potential to add applications to workflow (Amanda Kuzel)

o  It is possible for applications to go into imaging workflow, much like E-Transcripts go into document imaging? There were a few items in the discussion: key indexes, separate queue for review, batch vs. individual printing. A joint meeting between Hobson’s and Perceptive Content, regarding technical issues, will be held prior to the next User Group meeting.

·  Immunizations: Can a report be created to pull information & what is the process for outbreaks – LRSC created a query that would pull that information. VCSU is working on a DR to create a report. It will only work for those campuses that enter immunization information into Campus Solutions.

·  Campus Management (Justin) – this will remain on the agenda

·  Campus Solutions – when international students apply with only one name, the name has usually been entered into the last name and a period (.) in the first name field or FNU? It was suggested the members consult with their HR department and bring information back to the next meeting about how these types of names are entered.

·  Preferred Names: there have been some incidents that students have put preferred name into the middle name field. This is a continuing conversation on campuses and will be discussed for annual updates.

·  Application change: mailing address lookup is different from institution lookup (HS, college). The files will be updated with Hobson’s so the drop-downs will be changing in these application areas.

Open Discussion/Matters Arising

New representatives will be needing for DR and Training Committees since Stephanie Shock is no longer at LRSC. There was discussion about disbanding or reforming these committees to be more applicable. The Committee Report section of the agenda will be removed at this time, with further discussion, at the next meeting, about how these items will be reported to the group.
