Dear Vendor / Dealer,
Set up is on Wed. at 8:00 am no setup Friday or Saturday!
Booth spaces will be rented as a 3-day event. Tear down/move out is Sunday.
Vendor spaces rent is as follows

Applications will be accepted on a first come, first serve basis. We limit like items.
In order to reserve your space we must have your application and payment in our office 30 days prior to the event. Each vendor is required to pay for their space in full to reserve your spot. Remember spaces are limited and are booked on a first reserved, first paid basis.
Applications received after October 19st 2016, will be admitted if space permits.
One 20 amp receptacle per booth.
Food vendor $500.00
Water spouts are provided for FOOD VENDORS along with electricity.
ALL FOOD VENDORS ARE REQUIRED TO CONTACT THE STATE OF TEXAS DEPARTMENT OF HEALTH SERVICES TO OBTAIN A FOOD VENDOR PERMIT. A COPY OF THE PERMIT MUST BE DISPLAYED AT ALL TIMES DURING THE EVENT. Tammy Honea 903-657-3832. She works in the field so make sure to leave a message.
We want to provide a well-rounded Rally and a good opportunity for all of our vendors to have a profitable showing. An application and contract are enclosed with this letter.
The application and contract needs to be filled out completely and returned with full payment.
Late applications will be accepted on standby.
Notification of acceptance will be emailed to you after receipt of your application and payment.

The Crater Rally
1. It is agreed that the Exhibitor will fill out, sign, and return this contract with payment.
2. It is agreed that booths will be rented for the entire show and that the Exhibitor will tend booths. Vendors must open for business at 10:00 am sharp and will not close their booth before 8:00 pm. Vendors will be allowed to remain open for as long as they wish after 8:00pm.
It is further agreed that there will be no subleasing of booth space. No booth sharing.
3. It is agreed that any objects exhibited by the Exhibitor be his/her responsibility at all times, and Exhibitor shall be responsible for his/her safety and bear any loss by reason of theft, breakage, or other casualty.
4. It is agreed that Exhibitor will comply with any and all requirements of any government authority be it federal, state, or local – and to indemnify and hold harmless the promoters and the show facility, owners, and all its constituents, from any and all liability due to failure to comply with any regulations.
5. It is agreed that the promoters reserve the right to make further rules and regulations, and such changes, regarding this event as they deem necessary and proper: and upon notice to Exhibitor all said action should become part of this contract and binding on the parties hereto.
6. It is agreed that the Exhibitor will release the promoters and the show facility owners and all its constituents from any and all liability for damages, injury or loss to any person or goods from any cause whatsoever, and further agrees to indemnify the promoters from any and all claims for damage, injury or loss.
7. It is agreed that violators of these rules may constitute non-participation in future rallies.
8. IT IS AGREED THAT ALL VENDOR SPACE FEES ARE NON-REFUNDABLE.
9. IT IS AGREED THAT VENDOR SPACE FEES ARE PAYABLE UP FRONT;
NO FEES WILL BE COLLECTED AT THE RALLY SITE.
10. All vendors must provide copy of general liability insurance with application.
11. The Crater Rally has the exclusive right to display, license, sell and merchandise all event novelties (t-shirts, ride pins, etc.). The Crater Rally further has the right to inspect, approve, reject or otherwise control the display, promotion, sale or other merchandising of products or services by exhibitors at the event in its sole discretion. Any products or services rejected by The Crater Rally must be immediately removed from the event premises.
Merchandise designed to be passed off as event merchandise or which has this effect will not be permitted.
No signage may be displayed in Exhibitor space reading “Official Rally Merchandise”,
“Rally Merchandise”, “Rally Tees”, “Event Tees” or any similar language advertising the sale of event merchandise.
Any vendor found selling merchandise that infringes on these trademarks
May be asked to leave immediately and will be subject to legal recourse.

We will no longer accept payment at the gate, all vendor fees must be paid in advance with a signed vendor application and the vendor agreement. Due to our mail service we cannot accept checks any later than 30 days in advance. After 30 days you will need to purchase a money order.
Each vendor not vendor space will receive 2 armbands with their booth. All workers must be 21 or over (no exceptions). Any other armbands must be purchased.
We do our best to not have numerous vendors selling like products in order for vendors to make the most profit; this is based on vendors filling out the application with all products they will be selling, this does not mean you will be given exclusive rights to an item.
