Eyecandy Weekly Meeting

Agenda Items:
***Marty may not be at today’s meeting: if he is not someone needs to be assigned to email him and let him know what his job should be. He has completed the ad packet, so if he needs to email it to Ellie, he needs to be notified. He is also on the distribution team, so he should be emailed any decisions or information that comes out of the distribution team’s meeting.
Latest Issue has been printed! Toby has the copies at his house, he is going to try and bring them to today’s meeting. The Distribution team (Marty, Mandy, Misha and Matt—plus any others that want to help) should meet separately to discuss drop locations and divide the drops between everyone. Toby can coordinate with folks as to when and how many issues to pick up. One to two people should be assigned the task of looking through the magazine and writing down all the advertisers. These businesses should receive a copy of the issue and an ad packet IN PERSON within the next two weeks.
The ad packet should be complete. This should be sent to Ellie so she can post it. Ellie should be able to tell all staff when the ad packet will be up on the internal site. People should start trying to obtain ads as soon as possible.
A team should be established to coordinate the release event. Emily and Laurel have expressed interest in this. A team of 4-5 should be enough people, if no one else volunteers, we will need to assign more people—those that do not have any current tasks to perform in the production end of EC should be assigned to this team if there are not enough volunteers. This team will need to meet with Irene shortly.
Web deadlines from content writers are due today. These should be written down on a list and given to the editors. The editors can then share this information with the web team and should begin producing a schedule of web material to be released.
We should update the blog on the website and announce the arrival of the new issue, along with some key pick-up locations (communications, library, bay tree, etc)
Sander is working on a flyer to recruit film and video projects both for the EC website as well as the issue release event. The details of this flyer should be worked out in today’s meeting so he can complete the task and post the flyers.
All information from this meeting (teams formed, decisions made, etc) should be documented and emailed to Briana so she can draft minutes and update people accordingly.
