Question:Is the District currently using any visitor management system?

Answer:The District does not have any centralized system, there are some campuses using standalone systems.

Question:If so, what product and/or vendor is being used?

Answer:Positive Proof

Question:If the answer to #1 is yes, why is the District looking to replace the current application?

Answer:The District does not have a centralized system and does not have the capabilities listed in the RFP.

Question:What three items that are not in the District’s current application would the District like to have in the new application.

Answer:All requirements are listed in the RFP.

Question:May we submit multiple solutions with different pricing options?

Answer:Not at this time. Please submit the requirements as listed in the RFP. After initial review the District may ask for additional information.

Question:Is the District’s preference for an employee run check in system or a self-serve check in system?

Answer:Do not understand the question .

Question:Will the successful vendor also be required to supply the computers, or will the District supply all computers used for the Visitor Management System?

Answer:No, the vendor will not be supplying the computers, only items listed in the RFP are required. The District will supply the computers needed.

Question:To reduce costs, would the District consider web installation and training?

Answer:Training: Not at this point in time. Initial training will need to be onsite.

Installation: Central management server/application can be installed via remote sessions. Workstations must be installed/configured onsite due to internal staffing limitations.

Question:Under Middle School Campuses and High School Campuses, the quantity being requested appears that are each middle school, two (2) check-in stations and at the high schools, that three (3) check-in stations will be installed. Is this correct?

Answer:Yes

Question:If the answer to #9 is yes, please describe why having this many stations at each middle school and high schools may be required?

Answer:This is the requirement due to the size of the schools.

Question:How many originals and copies of the bid response should the bidder submit?

Answer:One

Question:Would the District consider an all-in-one touch screen computer kiosk?

Answer:Budget does not permit this at this time.

Question:Can you explain how you use the Dual sided printer?

Answer:Visitor labels on one side, tardy slips on the other.

Question:Can you provide more detail on the Centralized servers at the Main Office-Education center?

Answer:Not without knowing what detail you require. The system chosen will be centralized on a server or servers housed at our Educational Center.

Data should be centrally located/pulled up to a primary server located at the education center.

------Question: Can you provide more detail on your preference for a solution that can run in a virtualized machine?

Answer:GPISD will prefer to run a virtual machine as the centralized server. The system software chosen must be capable of running in a VMWare version 5.X environment.

Question:What system do you have in place currently?

Answer:The District does not have a centralized system.

Question:Will you consider purchase from Texas Buyboard?

Answer:The District is not limiting the purchase to this agent.

Question:Will you consider lease costs as well as purchase costs?

Answer:No.

Question:Will you consider a demonstration of the product?

Answer:Demonstrations will be required of the District’s top two or three selections after review of the initial RFP.

Question:The Project Scope calls for a single, web based software package. Would the ISD consider a vendor provided turn-key self-service hardware solution, including monitors, with individual campus systems software being totally integrated into a central location?

Answer:No.

Question:Please clarify the RFP due date and time.

Answer:December 5, 2013 at 10:30 AM.

------Question: What will be the purpose of the dual printers? Is your intention to print visitor badges from one side and student (non-stick) tardy badges from the other?

Answer:Yes

Question:You specified an “ID Scan” for staff. Is it your intention to have your staff submit their ID’s in the same way visitors do? (legal form of ID to check for sex offenses and custody issues upon each entry)? I am wondering if you meant “bar code scanner” for reading a faculty badge and not “ID Scan”.

Answer:Staff will “sing-In” using the District issued ID. This is both a prox card and an ID with a barcode. The District would want a system that can scan the barcode on the ID card.

Question:You specified integration with Skyward for tracking substitutes. Do you enter your substitutes into Skyward?

Answer:Skyward integration is intended for the tardy section of the program.

Question:Equipment specified. Does the first number (below) represent quantity? For example, do you want 2 sets for EACH of the middle schools and 4 sets for EACH of the high schools?
