Dear Parents & Athletes!

Welcome to the world of All-Star Cheerleading and thank you for choosing to join London Heat! As we prepare for our 12th season, we are anticipating a very exciting and successful year. Whether you are new to London Heat or a returning member, we are thrilled to have you join our team and look forward to working together to make London Heat the best that it can be!

We know that your athlete will learn lifelong skills, build lasting friendships, and work with some of the most dedicated coaches in London. We take pride in the program we have built and know that your athlete will excel on and off the cheer floor as a part of our family.

Please take the time to carefully read through this parent handbook. It has been developed to answer many of your questions and to allow you and your family to fully understand what being a member of London Heat Cheerleading is all about. Feel free to contact us if you acquire further explanation or if you have any questions.

Throughout the season you will experience what it means to be a part of the Heat Family. Here are a few things we do at London Heat that set us apart from the competition.

  • Our coaches have a passion and love for the sport that is displayed at each practice, competition and event. They are all certified with USASF are First Aid/CPR trained as well as certified with Cheer Smart. They are knowledgeable, friendly, and National Champions!
  • We have a team for every age and level. We know that the success of our teams starts with placing each athlete in the appropriate level that will foster success and improvement in a challenging and motivating environment.
  • We host many fun and exciting events with our entire program throughout the season! We begin with our Kick Off Party in September to start the season in style, followed by Trunk or Treat, and other new events coming this year.

Our New Home!

We are beyond excited to be moving into our new building this season! Our new gym will be fully equipped in a facility built just for us. The gym features 2 full sprung floors, a full tumbling zone and plenty more to enhance all of our athletes’ training!We anticipate moving in July for the start of training - fingers crossed for good weather and construction! The new address is 2946 Bateman Trail.

Summer Training

We encourage athletes to be at all summer practices. This is an important time of the season as athletes will be placed into stunt groups and will start working on new tumbling skills and choreography for the next season.

Fall Training

Fall training is mandatory as of August 25th. For the success of our teams all members are necessary at each practice.

Skills Clinic

This season our choreographers will be coming in August to work with our teams on their stunts to allow more time for them to perfect them! Stunt Clinic training will be as follows:

Saturday August 11th: 4-8pm- Youth 1, Youth 2, Junior 2, Senior 2Sunday August 12th: 10-2pm- Youth 3, Junior 3, Senior 3, Junior 4

Sunday August 13th: 4-8pm- Level 5

It is important that we have the full teams attend these clinics to be as effective as possible.

Choreography Dates

August 25th- September 9th will be mandatory Choreography Days. All athletes must attend and no exceptions will be made. This season we are bringing in outside choreographers to work with our teams. Dates and times for each team will be determined by the end of July and all teams will be notified as soon as the details are finalized.

Important Dates

Team Orientation

We will be holding Team Orientations on the dates listed below. During orientation families will fill out their investment form to pick the payment plan they will be using for the season, athletes will be sized for their practice shirts and competition uniforms, and pro shop items will be available for purchase. Families will meet their team coaches and their new team members.


Tumbling

Tumbling is an important aspect of cheerleading, athletes that are wanting to perfect and advance their skills are highly encouraged to attend additional tumbling outside of team training. During the season team training will progress into more stunting, and routines with less individual time spent on tumbling. Specific tumbling classes will give them the opportunity to work towards their goals in a smaller class setting.

Tumbling Class Levels

Athletes must perfect the skills in each Tier before moving onto the next one. These building blocks will lead them to much bigger skills in the future.

Class Pass! New this season!
During online registration in June, families will be able select the class pass for $65/month for the 9-payment plan. Fees will be processed at the same time as team fees. This will allow you to register for 2 tumbling classes per session until May 2019. Class passes will have the first opportunity to register for their classes for each session. (Classes may fill quickly, we will open more if they fill but quantity of classes is not guaranteed) These fees are non refundable.

UNIFORMS AND PRACTICE GEAR

PRACTICE GEAR

Included in your yearly investment is a program practice T-Shirt and practice bow that you will receive during the summer.

Additional practice gear packages will be available to order during the summer.

Athletes will be required to wear London Heat practice gear at all practices. Athletes will also be required to wear a bow at all practices.

The following items are required for practice:

-Black Shorts (athletic tight shorts, i.e.Nike pros)

-Sports Bra: Heat sports bra or red, white, or black sports bra with no logo

-Heat T-Shirt/tank top from any season

-Bow: any colour or style of cheer bow is permitted

-Cheer Shoes (no other shoes are permitted)

UNIFORMS

Tiny Prep, Mini Prep, Mini and Junior Prep will be using the same uniforms as last season! This is a more affordable (slightly less blingy) option for these young growing athletes.

All athletes on these teams must purchase the uniform package:

-Competition Uniform $160 approx.

-Competition Bow $40 approx. We will be using the same bow as last season.

-Make up- Can be purchased at Shoppers a list will be given in October

A deposit of $100 will be put through the Portal on July 15th. The remaining balance will be processed on September 15th. Uniform orders are non-refundable.

Youth 1, Youth 2, Youth 3, Junior 2, Junior 3, Junior 4, Senior 2, Senior 3 and Level 5 will be getting new uniforms this season!!

Make up and Bow will be the same as last season. New athletes will need to purchase these items.

-Bow $45

-Make Up – Can be purchased at Shoppers a list will be given in October

-Track Jacket is optional (approx. $100)

FUNDRAISING

THE LONDON HEAT BOOSTER CLUB

The London Heat Booster Club is a separate, non-profit organization composed of a group of parent volunteers who arrange fundraising opportunities to help alleviate some of the costs of cheerleading. Booster Club meets monthly to organize fundraisers, discuss upcoming events & vote on subjects that may affect the best interest of the club.
Booster Club is made up of, Co-Chairs, Treasurer, secretary and 1 Team Parent representative from each team.
Booster Club requires fees paid by all athletes. These fees are used towards, but not limited to; coach’s fees, travel costs, competition expenses, club events, yearend banquet, and so on. Fees for the 2018-2019 season are listed below.

An updated Booster Club manual will be available on the HEAT website& willbe emailed to you. The Booster Club manual outlines all the rules & should answer any questions you may have.

Booster Club will be looking for one Team Parent representative from each team. We willemail out the short application right team registration dates. Please consider joining the Booster Club, the more we fundraise the less our costs!

All Booster Club fees must be paid in full by September 18, 2018for your athlete to be able to continue training with London Heat.

You will be given several opportunities throughout the season to continue fundraising, and these funds can be applied to competition/travel costs associated with events that take place outside of Canada.

The London Heat Booster Club fee schedule is as follows:

Tiny Prep, Mini Prep, Mini 1 and Junior Prep- $75

Youth 1, Youth 2, Youth 3, Junior 2, Junior 3, Junior 4, Senior 2, Senior 3, Level 5- $175

YEARLY TUITION OVERVIEW

Outlined below are the fees for the 2018-2019 season. This season we have an all-inclusive pricing structure which includes the following: team package (team t-shirt), registration and membership, tuition, music, choreography, SOCAN, insurance, and Ontario competition fees.. Competition uniform fees (including bows, makeup, etc.), US Competition fees, Booster Club fees, tumbling classes and summer camps are not included in this pricing. *Choreography and music have been placed back into the yearly tuiton.

Your yearly tuition will be as follows (HST will be added to all fees): Fees will be processed through the portal on the 15th of each month.

Crossovers

Crossovers are athletes that will be participating on more then one team for the season. These athletes will be notified after tryouts.

Crossovers fees will be $650 + HST for the season. This payment will be processed through your portal in three installments starting Sept 15th, Oct 15th and ending Nov 15th.

NOTES

1.A credit card must be provided at the time of registration. If you wish to pay by cash or debit, you may pay in person at the office prior to the 15th of the month when the payment will be taken. This policy will also apply to any other fees that may be collected throughout the season (i.e. U.S. travel fees).

2.All fees listed above do NOT include HST.

3.Fees/Costs for all USA competitions are NOT included in the fees above. All USA competition fees will be collected/ processed through your customer portal a minimum of four weeks prior to the competition date, along with travel and accommodation costs.

4.A $30 NSF fee will be charged for all payments declined or returned.

5.Competition uniform fees (including bows, makeup, etc.) are separate.

6.Competitive cheerleading is a yearly/per season tuition. Fees are NOT monthly membership fees based on the month or times you attend. London Heat Cheerleading reserves the right to turn over all delinquent accounts to a collections agency and parents/athletes are responsible to pay all additional costs incurred.

REFUND POLICY

  1. The Registration Fee is NON-REFUNDABLE.
  2. Competition Fees are NON-REFUNDABLE.
  3. The team package fee is NON-REFUNDABLE.
  4. A $50 administration fee applies to ALL REFUNDS requested.
  5. There is a $30 NSF fee for all payments returned NSF or declined.
  6. Refund requests must be made in writing to the program director.
  7. No refunds of tuition fees, competition fees, or trip expenses and/or deposits will be allowed if an athlete is terminated due to the athlete’s and/or parents’ violation of the code of conduct.
  8. Trip deposits and payments are NON-REFUNDABLE.
  9. Refunds are based on Tuition Fees ONLY. All other fees are non-refundable.
  10. Refunds are processed as follows unless the athlete incurs serious health problems. A doctor’s note will be required at the patient’s expense and refunds will be processed from the date the doctor's note is received in office.
  • 100% of remaining fees up to and including September 1st, 2018
  • 75% of remaining fees up to and including November 1st, 2018
  • 50% of remaining fees up to and including December 1st, 2018
  • No refunds of ANY remaining fees after December 31, 2018

For Clarity - If your child withdraws on September 1st, you will be refunded 100% of tuition fees paid from September until May 31st minus the $50 administration fee. If the athlete withdraws AFTER September 1st, you will be obligated to pay 25% of tuition fees covering September until May plus the $50 administration/withdrawal fee.

COMMUNICATION

Communication for administrative purposes is primarily made via email (Jamie at , ). Please make sure we have the correct email for you and that you are receiving all emails.

We will be using our Facebook page ( for any communications regarding practices, important reminders, competition updates, etc. Please make sure to “Like” this page for instant updates and news. While at competitions, this is the easiest form of communication for any changes and/or notifications.

CLUB RULES & REGULATIONS FOR A SUCCESSFUL, POSITIVE SEASON

Athlete Expectations

  1. Athletes are expected to be at all practices, competitions, choreography and club events or team bonding activities.
  2. Athletes must treat their coaches, administrative staff, competition staff and teammates with respect at all times.
  3. Athletes are to be good teammates - no gossip, pettiness, bullying or alienating will be tolerated. These behaviors are grounds for dismissal from our program.
  4. Each athlete must be aware that no person has a “right” to be a part of London Heat. It is a privilege.
  5. Athletes will understand and respect that coaches reserve the right to alter/modify routines as needed. They will respect and support those decisions that are made in the best interest of and for the team.
  6. Athletes are expected to maintain, at a minimum, the skills they performed at the start of the season. We reserve the right to move athletes if they are not able to maintain those skills.
  7. Athletes must communicate with their coaches if they are sick or injured, or if there are any serious issues with other teammates. Each athlete must be able to communicate any concerns or issues with their coachesto allow proper recovery/solutions.
  8. Training is exclusive to London Heat. Including tumbling and flying classes.

Parents' Role & Responsibilities

  1. Parents are expected to pay all fees and bills in a timely manner. Athletes with past due amounts will be asked to sit out of practice.
  2. Parents are expected to support the team and the club by supporting their athlete in a positive manner.
  3. Parents must support their athlete's commitment to the team by ensuring they are at practice and by following our attendance policy.
  4. Parents must stay informed by reading all emails and by checking the Facebook page.

Club Rules

  1. Our goal is to teach athletes the responsibility that comes from a competitive team sport. This means that we rely on parents to help us enforce our attendance police by ensuring that your athlete does not let her team down. Removing cheer from your child's schedule is not an acceptable form of punishment as this impacts the entire team.
  2. NO GOSSIP will be tolerated. Please refrain from talking about other athletes, families or coaches. Failure to comply may result in dismissal from our program.
  3. London Heat strives to maintain a positive atmosphere at all times and we take this very seriously. We are happy to discuss any concerns individually; however, continued negativity will not be tolerated. Persistent negativity from parents or athletes is grounds for dismissal from our program. If you have a concern, please address it with the program director so that we can solve it or explain it.
  4. Parents are not permitted to be in the gym. This can be a distraction for the athletes while training. We will open viewing a few times each year.
  5. Social Media Policy - Anyone associated with London Heat must refrain from posting negative thoughts about the team, gym, coaches, competitions, or other programs on any form of social media. The only acceptable method of addressing concerns is with the appropriate person directly.
  6. In order to use the London Heat logo or brand, permission must be obtained from the LGA/London Heat office.
