Job Description – Philanthropy Assistant

Responsible for: Underpinning the Fund development work of the Foundation through:

  • administration and clerical tasks
  • co-ordinating and organising fund philanthropy activity
  • financial administration
  • being an Assistant to the Philanthropy & Business Manager

Line management:Line managed by the Philanthropy & Business Manager.

Salary: £16,000

Hours of work: 37 per week

Introduction:This role is very important to, and has been designed to support:

  2. The Foundation’s vision, Annual Business Plan and Philanthropy Strategy objectives
  3. Attaining the highest levels possible of compliance with the CFN Quality Accreditation standards

Main responsibilities and tasks:

  1. Fund, Donor and Philanthropy support.

UndertakePhilanthropy support duties including:

  1. Administration in support of events and meetings
  2. Updating and maintaining donor and grant programme information
  3. Communicating with clients and prospective clients on behalf of the Chief Executive and Philanthropy & Business Manager
  4. Attending meetings/conferences/events in a support role, representing the Foundation and working with the whole team
  5. Supporting the administration work of the Foundation, including organising meetings, diary management and taking notes/minutes
  6. Desk and telephone research, background and profile research
  7. Working with the PR advisor on press/profile campaigns
  8. Working with the Philanthropy and business manager, preparing donor impact reports, website information, case studies and articles
  9. Administering e-bulletins and newsletters
  1. Fund holder and Grants Administration

Working within both the Grants and Financial Handbooks of Procedures, support grantsand financial administration programmes generally, and specifically with regard:

a. The Fund for Wales

b. Henry Smith Charity

c. Dormant Trusts campaign

d. Impact reports

e. New grants programmes

  1. Financial Administration

undertake financial administration duties including:

  1. Producing information for Impact Report to Fund holders
  2. Managing grant payments and associated reports
  3. Administering Philanthropy and Business Manager expenses
  1. General Administration
  1. Being the front-line telephone answering person, responding to general enquiries and signposting information, and taking messages
  2. Preparing food and refreshments for meetings, making teas/coffees and washing up once a day
  3. General housekeeping/tidying/cleaning-up of office premises
  4. Weighing and stamping post, visiting the post office, mailing post each day
  5. Clerical support for Board and Committee/Strategic Development Group meetings
  6. Undertaking desk research and preparing summary reports
  7. Providing secretarial and administration support to the Philanthropy & Business Manager and to CE as necessary
  1. Other
  1. To work on a range of discreet projects and tasks using administrative and co-ordination skills, and to undertake other tasks as required by the Philanthropy & Business Manager, and for which the post-holder is judged to be competent, in line with the scale and general nature of the post
  2. The ability to read, write and speak Welsh at a level necessary to function and progress at work and in society in general, is essential for this post. For example: the successful candidate will be able to converse and write with confidence and ease in both English and Welsh; answer verbal and written enquiries; create and respond to correspondence; and, with training and support, give presentations and advice. Training will be offered to improve written Welsh if needed, and the Foundation also uses the services of a translator.
  3. With training and support, the Philanthropy Assistant will represent the Foundation in a variety of forums, and administer events and public relations activities.
