Purpose of Job / Set up the administrative processes required for administration of the new CWGC Friends group. Act as the single point of contact for the CWGC Friends group, in particular for those wishing to join or renew their subscriptions. Responsible for maintaining the CWGC Friends group database and for processing payments and fees.
Key responsibilities and accountabilities
General
  1. As the main point of contact for the CWGC Friends group, you will ensure that our Friends have a seamless experience. Whether you are answering enquiries from existing and potential Friends, processing payments, distributing information or providing general advice.
  2. Act as the organisation’s expert regarding the CWGC Friends group, providing advice to colleagues and promoting the CWGC Friends group within the organisation.
  3. Work to the targets set in the new CWGC Friends group business case, to set up and grow a membership-based Friends Group, to targets defined withinthe business plan.
  4. Create and maintain the CWGC Friends group database ensuring that records are kept up to date and in line with data protection protocols.
  5. Contribute to the development and delivery of CWGC Friends group communications and campaigns. In particular co-ordinate content and act as gatekeeper for the delivery of content relating to the CWGC Friends newsletter, blogs, social media etc.
  6. Ensure the effective collation and interrogation of CWGC Friends group data to enable provision of insights to the CWGC Director General and the Chair of the CWGC Foundation.
  7. Track income generated from the CWGC Friends group and provide regular management reports as required for the Senior Management Team.
  8. Liaise with the Finance team regarding payment/non-payment of CWGC Friends group membershipas required.
  9. Carry out any other administrative processes to support the work of the CWGC/Foundation as required.

Knowledge &qualifications/experience required
  • Proven experience of working effectively in a highly customer-focused role
  • Digital marketing experience (desirable)

Competencies & Key Skills (functional/technical)
  • Excellent interpersonal skills and the ability to co-ordinate work with a “can-do” attitude
  • Highly organised, methodical and proactive
  • Clear verbal and written communications skills, in particular in dealing efficiently and competently with enquiries about the CWGC Friends group
  • Substantial experience of data analysis in Excel including the ability to use Pivot Tables and V-look ups, and experience of using, or ability to readily learn how to use, membership databases and CRM systems
  • Willingness to undertake some travel and/or weekend and out-of-hours working is a must
  • Full driving licence
