New user:

To access the system for the first time after you have been entered as a user in the database:

  1. Go to the District 41 website:

2. Login using your Novell/GroupWise User ID (e plus employee number)

3. Type in the temporary password: burnabyesl

4. To change your password: Type in the temporary password: burnabyesl, then click

6.Login again using your GroupWise password

The temporary password allows you initial access to the booking system. For security reasons, you must change your password to your GroupWise User ID. You only need to do this once. For later logins, just use your GroupWise password.

Changing Student Data

You can change or modify student demographic information from theBooking tab.

To change the school name for a student:

Enter the student’s name. Select All for school name if previous school is unknown and Show all under Booking Status. Click the Search button.

Select the edit button to the left of the student name.

From the drop down menu, select the correct school name. Scroll to the bottom of the page and select

Annual Reassessment Features

This area of the ELL Scheduling & Assessments manages the annual reassessment of students and is found through the Re-Assessment tab. You will see a list of all students who have an initial assessment.

The field titles at the top of the student data can be used to filter only those students you wish to find. You will notice that, by default, the list is filtered to only show students from the school that you belong to, as determined from your user id. If you belong to the WelcomeCenter, the list will be defaulted to show all students.

To find a student using the filter fields at the top of the screen, you can type in text fields, such as Legal First Name and Legal Last Name, PEN Number or you can select from the drop-down lists such as School Name. Once you have made your

selections, click the button

To search the database for records of exited students, select the box labeled :

Allows you to view the student assessment history

Allows the ELL teacher to enter the annual reassessment details for a student

When you select a student their demographic information and assessments are displayed.

Beneath the student demographic data portion of the screen, all prior reassessments and the initial assessment summary details are displayed in order of most current assessment. The original AIP will be listed with the word Original next to the year.

Select to complete the AIP for the next school year.

Select the edit button beside the prior reassessment to edit or modify an existing AIP.

By selecting Next Year Assessment, you will be taken to the following screen that will allow you to provide the reassessment data for this student.Note: You will only be allowed to select a particular year once. If for some reason, the current year has already been selected, complete the AIP by modifying the existing AIP.

June, Year - choose the present year.

Year of ELL Funding- choose the nextyear of funding. Note that although the BC Ministry of Education restricts funding to 5 years of service, it is possible to select Year 6 in this database. This allows teachers to include students who receive funding beyond the 5 funded years. Verification of years of service can be found in the electronic 1701 verification form sent from the Ministry of Education to each school.

Next Year's Grade - choose the grade that this student will be in for the next school year.

Exiting Students- if a student no longer requires ELL support or has moved out of district, click the Exit button and select a date and reason from the drop down window. If a student has exited, a note at the top of the reassessment page will be displayed indicating that the student exited and the date of the exit. Do not exit ELL students moving from grade 7 to grade 8 if they are to continue to receive ELL support at high school.

Educational Background/History- remove comments that were included as part of previous AIPs.

The upper portion of the screen displays the student information. The lower portion of the screen contains the required fields to be completed for the annual reassessment. As in the initial assessment, the skills assessed, tools/measure used and results should be recorded for the reassessment. The skills assessed will be defaulted to what was on the original AIP. Make the necessary changes for the reassessment.

For students in grades K-1, reassessment will be based on oral language skills.

For students in grades 2-3, reassessment will be based on an oral assessment and a district reading assessment for those students who demonstrate advanced oral language skills.

For students in grades 4-12, reassessment will be based on assessment of reading and writing skills.

Oral - select the oral level that applies to the student for this. Levels exist from 1 - 4 and also include a level called Proficient. Proficient is used when the reassessment shows that the student no longer requires ELL services in this area.

Reading - select the reading level that applies to the student, if applicable. Levels exist from 1 - 4 and also include a level called Proficient. Proficient is used when the reassessment shows that the student no longer requires ELL services in this area.

Writing - select the writing level that applies to the student, if applicable. Levels exist from 1 - 4 and also include a level called Proficient. Proficient is used when the reassessment shows that the student no longer requires ELL services in this area.

Recommended Placement ELL- select a two digit month-four digit year (09-2013) for the recommended placement. Note that you cannot save a reassessment record without a learning goal.

Learning Goals

Based on the recommended placement for ELL determined for the student, select the appropriate level of learning goals in this section of the form. Please note that the learning goals selected must match the recommended placement level.

If applicable, select the appropriate support strategies. By default, those from the most recent assessment will be checked off. Make changes as necessary.

Select the appropriate type of service. By default, those from the most recent assessment will be checked off. If the service is not listed, you may select from the available options in “Other Service” or type it in. If you type in an entry in “Other Service”, this option will automatically be added to the drop-down list for future use.

Reporting Term

This area is reserved for the ELL teacher to initial and select the date in the appropriate reporting term for the student.

ELL Summary Information

Overall ELL Level - select the overall ELL level for servicing that applies to the student. Levels exist from 1 - 4 and also include a level called Proficient. Proficient is used when the initial assessment shows that the student does not require ELL services.

Oral - select the oral level that applies to the student, if applicable. Levels exist from 1 - 4 and also include a level called Proficient. Proficient is used when the initial assessment shows that the student does not require ELL services in this area.

Reading - select the reading level that applies to the student, if applicable. Levels exist from 1 - 4 and also include a level called Proficient. Proficient is used when the initial assessment shows that the student does not require ELL services in this area.

Writing - select the writing level that applies to the student, if applicable. Levels exist from 1 - 4 and also include a level called Proficient. Proficient is used when the initial assessment shows that the student does not require ELL services in this area.

For a number of reasons, students may exit ELL support before they are fully proficient. Record the assessed ELL level that the student demonstrates on the exiting AIP.

Comment Status - select a comment from the drop-down list for students who demonstrate a lack of progress in acquisition of English Language skills indicating possible reasons for the lack of progress, for example - extended absences.

ELL Additional Comments - the assessor may record any additional comments here. If a student has moved during the school year indicate in this section the name of the school and the date the student left the school, for example, "moved from Bellamy School, November 1, 2008". Any other additional notes relative to the reassessment may be recorded here.

Date of Assessment - select the date the assessment was performed in thisfield.

Click to print a copy of the reassessment. Sign the AIP and add it, with testing protocols, to the student’s AIP file.

Click to save the reassessment without printing.

Clicking the button will cancel your data entry and will

return you to the Reassessment Student List without saving any data you have entered.
