Welcome Desk Volunteer

POSITION SUMMARY

Reporting to the Administrative Coordinator the Welcome Desk Volunteer will be the first point of contact on the telephones and to women and the general public who visit WRRC. This will require general reception and the answering of telephones. This position seeks to support the flow of traffic and the WRRC staff team with routine administrative duties associated with the general public and others who contact the agency and to enable staff to focus on more direct service for women & children.

DUTIES & RESPONSBILITIES

General Reception

  • Respond to all visitors at the administrative entrance and grant access as appropriate
  • Greet and direct women, children & visitors to appropriate staff
  • Monitor security cameras
  • Accept donations and complete donation form documentation. Complete donation form requests and keep the donations board up-to-date. Put away and organization donations.
  • Maintain a professional, caring image during all agency contacts and demonstrate sensitivity to clients; works confidentially and with discretion
  • Maintain the physical environment of reception by ensuring reception area is clean and well-maintained

Telephones

  • Answer all incoming telephone calls and direct to the appropriate resources
  • Assist and provide information to callers

Admin

  • Assists with photocopying and other general office duties as required
  • Assists with mail outs

BOUNDARIES

  • Maintain confidentiality as per the signed Oath of Confidentiality
  • Do not provide personal phone number of other personal contact information
  • Be sensitive to the personal boundaries of the people accessing our services, refraining from asking questions of a personal nature
  • Will not provide counselling to the women/children, but will direct them to the appropriate staff member

QUALIFICATIONS

  • A police check is required
  • Must be a mature individual, able to work independently
  • Flexible and able to work in a fast-paced and ever changing environment
  • Able to work with a diverse population
  • Non judgmental
  • Passionate about women’s issues and able to work in within the framework of a feminist perspective
  • Computer knowledge of Word, Excel, Microsoft Office, Power Point would be an asset
  • Experienced working with the public
  • Experienced with multi line phone system

HOURS

  • 3 – 3.5 hour shifts Monday to Friday 9am – 7pm (excluding holidays)
  • Hours for this position are very flexible and dependent on each individual
