MAIN PURPOSE OF JOB:

To provide effective administrative support to the organisation; acting as the first point of contact for organisational enquiries, supporting office management, day to day database management and maintenance and providing administrative support to the Chief Executive and Senior Management Team.

The post holder will support the Operations Manager in managing internal systems such as HR, facilities and governance, and will provide flexible support when required to support the wider team.

MAIN DUTIES AND RESPONSIBILITIES:

Support services and internal systems

  • Assisting users in accessing services
  • Provide HR support, including administering recruitment exercises, leave and other HR records
  • Data Entry
  • Responsible for maintaining office supplies
  • Maintaining the database of members, and ensuring compliance with Brent Carers policies and procedures
  • Administer and assist in organising the annual AGM for members and the annual supporters conference
  • Provide support to the Chief Executive in preparing for Board meetings
  • Health and Safety awareness, responsible for First Aid and Fire Marshalling on all sites
  • As Brent Carers is a small team you will be required to contribute to the general running of the organisation, including taking a lead on additional events and activities as the need arises.

Administration and executive support

  • To support the Chief Executive and senior management in managing diaries and administrative duties, including arranging meetings with external contacts and stakeholders as required
  • Act as first point of contact for enquiries from the public, supporters and members, providing excellent customer service via telephone, the website, or letter, and replying/actioning requests as appropriate

General

  • Support all teams with specific tasks as agreed with the Operations Manager or Chief Executive.
  • Supporting the work of the Operations Manager
  • Provide other support within the finance and operations team as appropriate, including preparing for and supporting the annual audit, dealing with issues across offices, and supporting room bookings etc

  • Good standard of verbal and written communication skills
  • Experience of handling confidential information
  • Excellent computer skills, particularly with the Microsoft Office Suite of programmes and database systems
  • Experience in handling office administration duties effectively and efficiently
  • Ability to juggle different tasks effectively
  • Ability to work as part of a team
  • Ability to work with minimal supervision

Desirable

  • Experience of HR systems
  • Experience of facilities management

WORKING HOURS

The hours of work are those necessary to fulfil the requirements of the position. This will involve working unsocial hours in evenings and at weekends during Brent Carers activities, peer support sessions or at events, and also working during the day.
