VIBeS Trip Captain Check List

PRE TRIP:

  1. Sign up for scheduled trip, or schedule a trip and advertise in the news letter.
  2. Set up a ‘sign up’ sheet and add to the ‘trip book’.
  3. Prepare to advertise the trip at the monthly meetings, submit ad for the newsletter.
  4. Set the departure meeting place, and time. (ie: CSDB parking lot, 6:00 AM).
  5. Contact folks on the trip of the departure meeting place and time.
  6. If possible, give out a cell phone number where you can be contacted the morning of the trip in case someone is late or gets sick and cannot make the trip.
  7. Obtain rental information from skiers/guides who need rentals (height, weight, skier ability).
  8. Help arrange rides for everyone to the meeting place.
  9. Call Intermountain Coach to reserve the vans if appropriate. Depending on the number of signup’s, it might be necessary for some to car pool. A van is considered ‘full’ with 10 people. 20 people would involve 2 vans. 15 people would be one van and perhaps one car.
  10. Get a credit card from a board member to gas up the vans.
  11. For those needing a ride home at the end of the day, arrange with the person picking them up they will be called about 40 minutes out of the arrival of the group to the departure meeting place.
  12. Call the Guide Training Director to find out eligible folks to be the mountain supervisor. Contact to find a volunteer to be Mountain Supervisor.
  13. Work with the Guide Training Director to have as many shadow guides come along as possible. You might need to contact the shadow guides to see if they are interested in coming along. Talk with Training.
  14. Work with the Mountain Supervisor to determine appropriate pairings for skiers/guides/shadows.
  15. Work with Skier Orientation Director to make sure all skiers on the trip have attended Orientation, and have filled out their forms.
  16. Obtain the vests from either the VIBeS office, or whoever was the trip captain for the last trip.
  17. Distribute a ski area contact phone number, or distribute cell phone numbers of the drivers, incase of an emergency with one of the vehicles.

  1. Call the ski area with the rental info. (Ski/boots/pole set ups will be available ahead of time)
  2. Have an approved person call the ticket office with the number of tickets needed for the day.
  3. Fill out gas mileage vouchers if a car pool trip, and give to drivers. Ask they submit to the treasurer for reimbursement, or make a donation for the gas.
  4. Determine stopping places along the way to the ski area.

TRIP DAY MEETING PLACE:

  1. Have the cell phone turned on and available incase someone calls.
  2. Check of arrival of skiers and guides. Try to have a roster handy in case you need to contact someone.
  3. Announce stopping places along the way to the ski area, if appropriate.
  4. Announce a meeting place in the lodge upon arrival at the ski area.

ONCE AT THE SKI AREA:

  1. See if drivers can either park in or drop folks off at the handy capped parking area.
  2. Remind skiers and guides they are responsible for keeping track of their stuff.
  3. Have some quarters available for lockers.
  4. Determine and announce a meeting place and time for lunch at the ski area.
  5. Get and distribute tickets. Probably will need ticket wires, and a few maps.
  6. Determine and announce time and meeting place for the end of the day.
  7. SKI ALL MORNING!!!!!

LUNCH TIME:

  1. Try to arrive a little early at the lunch meeting place and save tables if possible.
  2. Please be sensitive to a ski area’s request for bag lunches not be brought into their cafeteria area. There might be two sets of lunch groups, one in the cafeteria area and one in the bag lunch area.
  3. Review the skier pairings with the mountain supervisor and swap pairs around of appropriate.
  4. SKI ALL AFTERNOON!!!!!!!!!!!!!

END OF THE SKI DAY:

  1. Verify rentals have been returned.
  2. Collect the vests.
  3. Check to make sure everyone has been accounted for. (Don’t leave anyone behind…)
  4. HEAD FOR HOME!!!! Arrange for a stopping place with drivers if appropriate (ie: Gun Smoke truck stop).
  5. Call drivers of those needing a ride home from the meeting place.
  6. Return to meeting place and say good-bye’s.
  7. HEAD FOR HOME!!!!!!!!! (you).

TILL NEXT TIME:

  1. Return vests to the office or to the next trip captain.
  2. Submit a brief trip return to the newsletter editor.
