2. Selection of New V3 Committee Co-Chairs – Traditionally, Publishing has had three co-chairs, two for V2 and one for V3. With Helen stepping down, we will be one co-chair short, but Helen highlighted an issue with current election procedure, i.e.-that the people most affected by co-chair elections are not able to take part in the election process because it takes place at the WGM. Helen proposes that the committee come up with nominees on the conference call (pre-announced) to select two nominees whose names will be taken forward to the Steering Division and then later confirmed by the TSC. The names put forward are Woody Beelers, Dick Harding, and Bob Hallowell.

Helen quickly reviewed some of the duties of the V3 Publishing Co-Chair and the time requirements.

Helen proposed that the announced call be Wednesday, January 23. Action: Helen to send an email to the publishing and co-chairs lists to announce this selection meeting.

3. Action: Helen to schedule Wednesday, Q1 and Q2 for V3 Publishing for the Phoenix (May 2008) WGM.

4. Ioana gave a quick overview of the HDF and its different forms of presentation, document, web and UML Enterprise Architect version. There followed a discussion of how documents, especially Word and PDF are presented with a historical preference for PDFs, because they can’t be edited, although this rationale is being questioned. The issue of the conversion of Word documents into XML was also raised. The discussion then broadened to include how all of the V3 ballot is put together and various issues arising from the hybrid approach it uses and then on to QA reviews of the ballot content.

The question was raised as to whether a tool like the UML modeler from Enterprise Architect could be used to construct the V3 Ballot, allowing committees to manage their current domains and models as well as bring in other document types such as Implementation Guides. Ioana demoed Rational Software Modeler 7.5, which is an Eclipse-based extensible tool that already has HL7 plug-ins developed for it.

5. Next steps:

Proposed Task – Identify candidate documents that could take advantage of UML-publishing method and then approaching the committees to see if they are interested in using this method.

Approach Tooling to see whether we can obtain licenses for Rational Software Modeler 7.5 for use in editing some of the V3 documents.

Pub DB Updates. Woody reported that it is important to be able to do more than just desktop publishing out of the pub db and he will try to roll out improvements to allow committees to use the SVN repository to manage their files.

Action: Don to update V3 frameset to open directly to section 2 of the Notes to Readers.

Action: Don to explore whether it is technically possible to link to Topics in domains rather than just domains.

A new release of the generator is coming out of Canada that will generate MIF 2 as well as MIF 1 files. Woody to review and when it is out of testing it will be released.

ICTC (Sarah Ryan) is looking to create a guideline/template for HL7 working groups to use when created IGs for ballot. Dick to serve as liaison to establish some understanding, such as how this will be published, how it will be formatted, etc.

Need review of language for dispositions in the ballot comments spreadsheets. Action: Don to review where and when comment spreadsheet templates are posted for co-chairs to edit and return for use with their ballots.

Need new rendering of the Vocabulary content. This will be done out of the NLM project (by Woody and Ted Klein).

Action: Don to rename V3 Guide as V3 Guide for Voters.

Action: Don to check ballot icon status usage for non-UV content.

Action: Don to check with GB to determine status of GB realm-specific content in ballot and whether it can be removed.

Keith Boone (ARB) wants to create a publishing checklist for publishing facilitators to help them QA their domain ballot content.

Action: Woody and Don to add an ‘overarching changes’ section to the Ballot Notes to Readers.

Norman Daoust came in with questions and Helen gave him work. He expressed that there is a need to identity where in the Domains new requirements from the HDF will be published, i.e., use cases. We need a way to trace from requirements to the specifications as identified in HDF. Subsequently need to update tools (e.g., PubsDB) to support additional requirements/recommendations.
