Using the MultiTrans TextBases

(Web users - GUEST)

To Log into the MultiTrans TextBases:

1. For both “Login” and “Password” type “guest”. Remember that the user name field is casesensitive. Please do not divulge the Login or Password, as at present we can only provide access to a maximum of 50 web users at any given time.
2. Select the required language for the application from the drop down menu (this facility is only available in English and French).
3. Click “Login”. You are now logged in.

Selection of TextBases:

There are three sets of TextBases:

1. IMO TextBases
2. IMO TextBases A, C, R
3. IMO TextBasesEnglish only

1. IMO TextBases

Each Textbase includes the documents of the relevant IMO body:

1. For all TextBases, please click on the green tick √at the top.
2. To select individual TextBases, tick on each one.
3. Then click “Ok”.

2. IMO TextBases A, C, R

These TextBases include recentdocuments in Arabic, Chinese and Russian (paired with English, French and Spanish). There are two subfolders:

• assembly a, r, c(A 24 A 25)

• reports (MSC, MEPC, FAL, LEG and TC, as well as C - only "Council Decisions" or "D")

3. IMO TextBases English onlY

These TextBases include documents in English that have yet to be translated into French and Spanish.

Once all documents for a session have been translated, they will be appended to the relevant TextBase (under IMO TextBases), and then these temporary ENGLISH ONLY TextBases will de deleted:

Select the “Source Language” and the “Target Language” and click “Next”:

Performing a Search in the TextBases:

The main working area consists of a Search pane and a Context pane. The Search pane is on the left and has two tabs: Search and TextBases. The Context pane shows source and target documents:

You can search for a term or expression by typing it into the text box and clicking the Search button. All segments that contain that term or expression will be identified, and the search results will be displayed below in the Search Results section of the Search tab:

The upper section of Search Results section displays the found expressions and their frequency, and the bottom section lists every target segment containing the term or expression. Clicking on a search result will display the term or expression found in the source language along with its equivalent in the target language on the right-hand side. Both segments will be highlighted in yellow, with the source term or expression appearing inblue:

To narrow your search results click the Search Options button:

• Consecutive Words will find the words you typed into the search text box only in the order in which they were entered. For example, searching for "Prime Minister"with Consecutive Words selected will find all occurrences of "Prime Minister". Searching for this same expression without Consecutive Words selected will find all segments containing both Prime and Minister, but not necessarily in consecutive order.

• All Words will find all of the words you typed into the search text box. If you deselect All Words, MultiTrans will look for combinations of two words ormore.

• Newest documents first will start looking through the TextBase starting with the document that was last added. If you deselect this option, MultiTrans will beginwith the document that was addedfirst.

• Exact will search for the exact words you typed into the search text box.

• Stemmed Search will search for all variations of the word you typed. Forexample, if you typemanage, the words managed, manager, management, etc… will be found if they exist in the open TextBase(s).

• Fuzzy Search will find variations of the term you are searching for. Using the Maximum Difference option, you can specify how many characters there should be between the word you typed into the search text box and the word that will be found in the TextBase. For example, if you searched for programme using a Maximum Difference of 3, you will find programme, programmes and programmer.

To view sections outside the Context pane:

-Click the Whole File link at the bottom of the source document or target document window to load the entire source or target document. To perform a search in this section, use Ctrl + F.

-Clicking the Previous or Next links at the bottom of the source document or target document window will load the previous or next section of that document.

N.B.

The alignment between languages is not always perfect. This is the result of differences in formatting between documents in different languages. If you cannot find the right segment in the target language, then you can always access the document separately in Word (via the languagedirectories).
