2014 Shelby County Schools Summer Youth Program

Scope of the Partnership

The Health Science Center will partner with Shelby County Schools (SCS) in their 2014 Summer Career Internship Program. The program runs for four weeks from June 2 – 27, 2014. Subsequent participation will be determined annually by HSC administrators. HSC contacts are:

Maximum Student Participants: Thirty (30)

Duration of Work Assignments: Four weeks (4) – June 2 – 27, 2014

Maximum Hours Work: Twenty-four (24) hours per week

Stipends: Paid by Shelby County Schools

Timeline

Ø  March 17, 2014 – Communication to departments outlining the process and actions needed for participation.

Ø  April 2014 – Receive student profiles from SCS. HR staff will review and screen.

Ø  May 1, 2014

o  HR will assign students to departments.

o  Background checks on participating adults complete.

o  TN Law on Mandatory Reporting of Child Abuse and Child Sexual Abuse Forms from all participating adults signed and returned to HR.

Ø  May 20, 2014

o  Child Protection Training complete by all participating adults.

§  Online by individuals through the SkillSoft training portal.

§  As part of the program orientation conducted by program directors.

§  Attend 1 of 3 sessions offered by the HR department.

Ø  June 2 – 27, 2014 – Students on campus Monday – Friday for work and weekly enrichment sessions each Monday from 8:30 a.m. – 9:30 a.m.

Coordination and Evaluation

The staff of the Human Resources Department will coordinate the following activities relative to students work assignments.

Ø  Orientation of staff in participating departments

Ø  Orientation of student participants.

Ø  Compliance with applicable aspects of the Minors on Campus initiative.

Ø  Compliance with Child Protection Training requirements.

Orientation of Staff in Participating Departments

Ø  Review of Shelby County Schools Program Guidelines

Ø  Name and profile of student(s) assigned (by May 1, 2014)

Ø  Identify area(s) that would offer a positive learning experience for the student(s)

Ø  Guidelines for creating a “job description” to ensure that students are engaged in meaningful work.

§  Identify the job that student will perform or assist in performing.

§  Identify the physical work space for the student (cubicle, desk, etc.).

§  Prepare a written document of job responsibilities.

§  Provide name(s) of department contacts for questions.

§  Provide training to the student on the job function.

Ø  Guidelines for setting work schedules.

§  Students can work no more than 24 hours per week.

§  All students will be required to attend a mandatory enrichment session coordinated by the HR department each Monday from 8:30 a.m. – 9:30 a.m.

§  Departments may work with each student to set the weekly schedule.

Ø  Review of the Shelby County Schools evaluation form and process

Ø  Compliance actions relative to the Minors on Campus initiative

§  Background check for covered adults (Required every 4 years)

§  TN Law on Mandatory Reporting of Child Abuse and Child Sexual Abuse

§  Child Protection Training

o  Compliance with HIPAA, FERPA and other applicable federal regulations based upon student assignments

§  Kmily Mann, Compliance Officer will provide a Confidentiality Statement for minors along with training requirements

Compliance with Minors on Campus Initiative for Departments

Ø  Departments identify area(s) that would offer a positive learning experience for the student(s)

Ø  Departments identify the adult(s) that will have primary responsibility for student supervision.

o  Adults must…

§  … Consent to a background check (required every 4 years). Adults that have a background check on file within the last 4 years are exempt this year.

§  … Read, sign and return the TN Law on Mandatory Reporting of Child Abuse and Child Sexual Abuse. These will be kept on file in the HR office.

§  … Participate in the Child Protection Training module. This training can be done online or adults may attend 1 of 3 sessions offered by the HR department.
