Time Sheet Procedures

1.Time Sheets are to be filled out daily.

2.On the 1st and 16th of every month, (or if the 1st and 16th fall on a weekend, the next business day) your Time Sheet must be presented to your supervisor or his/her designee.

3.Time Sheets will be gathered by the above individuals, with signatures by appropriate supervisors and sent to the Accounting Department on the 2nd and 17th of each month, unless they fall on a weekend, then the Time Sheets will be forwarded on the next business day.

4.Supervisors or their designees will be responsible to insure all staff have their Time Sheets in on the respective dates. Any Time Sheets not presented to the Accounting Department will cause a failure to record time worked and a check for the corresponding time period will not be issued.

5.If Time Sheets are lost in transit, respective supervisors and/or designees will have tracking forms that will identify the date Time Sheets were turned in and present them to the Accounting Department on the day the check was not issued. When this is done, the Accounting Department will immediately issue a check.

NOTE: If a Time Sheet is presented after a corresponding pay period, a check will be issued only upon approval of the supervisor’s request.

6.Failure to submit Time Sheets may cause a severe lag in receiving your pay.

7.If an individual is sick on a day when Time Sheets are submitted, it is the individual’s responsibility to contact their supervisor or designee as to where the Time Sheet is or to fill out on your behalf.

8.Supervisors will be provided a time log of staff’s vacation, sick and personnel time on a bi-weekly basis. Individuals will be provided this information by their supervisor or designee, or upon request to the supervisor or designee.

9.If your Time Sheets are not presented to your supervisor on the 1st and 16th of each month, you may not get paid. That is because your Time Sheet information will then be presented to the Payroll Service.

10.These new procedures will begin on January 1, 1998.
