Termination Policy

TERMINATION - INVOLUNTARY

  1. POLICY:Since the term of employment for most employees is for an indefinite period, termination at any time and at will, with or without cause, the Company has the right to involuntarily terminate any employee, in accordance with applicable laws; and University policy.
  1. PURPOSE:The purpose of an Involuntary Termination Policy is to outline the process of employee termination regarding a person who is not meeting University and/or job standards/behavior expectations, or for other University reasons.
  1. SCOPE:Applies to all employees
  1. PROCEDURE:

Stage I: Handling an Involuntary Separation

Supervisor Responsibilities:

  • Approves termination with next level of management and works with Human Resources.
  • Conducts discharge interview with employee along with a Human Resources representative.
  • Collects all applicable University property such as I.D. card, credit card, University cell phone, University laptop or hand held device, keys,and uniforms and returns items to the appropriate departments.
  • Informs the Office of Information Technology of termination and effective date.

Stage II: Processing an Involuntary Separation

Human Resources Responsibilities:

  • Documents details of termination.
  • Ensures that the corrective action, union processes or faculty handbook process has been followed and, if necessary, a legal consult has taken place.
  • Notifies payroll.
  • Identifies pension eligibility of employee; sends letter to employee communicating vested pension status.
  • Produces COBRA and retirement paperwork, non-vesting form and life insurance conversion form.
  • Sends all benefit continuance paperwork to terminated employees by certified mail.
  • Responds to unemployment compensation claims within dates specified in each case.

TERMINATION– VOLUNTARY

  1. POLICY:In the interest of separating from the University in good standing, an employee is required to provide at least two weeks notice of the date of termination.
  1. PURPOSE:To provide for adequate recruitment and replacement time, as well as a workable time frame to allow for the processing of benefits and compensation.
  1. SCOPE:Applies to all employees.
  1. PROCEDURE:

Voluntarily Separating from Employment

Employee Responsibility:

  • Informs supervisor in writing of resignation.

Supervisor Responsibilities:

  • Informs Human Resources as soon as notification is given. Also informs level up of the departure.
  • Collects all applicable University property such as I.D. card, credit card, University cell phone, University laptop or hand held device, keys, and uniformsand returns items to the appropriate departments.

Human Resources Responsibilities:
