TITLE: Associate Director, Executive MBA Program – Europe (London)

The University of Chicago Booth School of Business is one of the world’s largest and oldest business schools. It offers full-time and part-time MBA programs in addition to a Ph.D. program, open enrollment Executive Education and custom corporate education. It is the first U.S. business school with permanent campuses on three continents: Asia, Europe and North America. The school currently has campuses in Chicago, London and Hong Kong. The London campus is home to the Executive MBA Program-Europe.

The Associate Directoris responsible for the daily management of the Executive MBA Program in Europe.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Executive MBA Academic and Program Administration

  • Act as main contact for visiting faculty professor and provide support
  • Academic Calendar: Create detailed quarterly class calendars per faculty requirements for distribution to faculty and students
  • Student Academic Progress: Tracking grades/academic progress, academic probation reporting and verification of graduation requirements
  • Manage Academic Exceptions: Identify, monitor, process and provide assistance with all program exceptions including: transfers, leaves and reinstatements, incompletes and others
  • student petitions for off cycle students:Manage and process approved exceptions and creating completion plans for off-cycle students
  • Student records : Manage quarterly course registrations, maintain accurate and updated student record : addresses, grades and previous degrees
  • Manage Chalk groups membership registration incl. initial groups management and relevant changes resulting from students transfers
  • Provide visa application support to faculty
  • Create new procedures about Program operations when applicable
  • Backup for course material orders, inventory, production and distribution each quarter including Textbooks and Course Packs, working with Faculty Services team based in Chicago

Student Services

  • Act as a resource for student questions related to campus activities, including campus services, events, class week logistics, etc.
  • Provide support to students with visa challenges/issues
  • Work with MD on speaker series, planning and managing logistics of events
  • Develop activities to build community within the Executive MBA student population.
  • Manage and liaise with Distinguished Executives in Residence speakers when in residence, including scheduling coaching sessions with students
  • Backup to monitoring of class email lists

Special Events

  • Manage and organise closing ceremonies and its related budget
  • Help plan, execute and collaborate on special events such as Chicago Kick-Off week, Orientation, family day, summer weeks, Electives in Chicago
  • Assist and participate in otherBooth activities as required

Budgeting and Student Tuition

  • Develop, manage and monitor program budget and expenditures.
  • Communicate with students on issues related to invoices and tuition

Student Advisory and Activities Committee (SAAC)

  • Manage the election of SAAC and act as primary SAAC advisor on activities and SAAC funding

SCHEDULE

Working hours are 9 a.m. – 5:30 p.m. Monday to Friday during non-session weeks. Early morning, evening hours and Saturdays are required when Executive MBA students are in session.

KNOWLEDGE, SKILLS AND EXPERIENCE

  1. Bachelor’s degree required
  2. Severalyears of experience in an administrative, customer service, or other position with similar responsibilities is preferred. Experience in an academic program office(especially at graduate level) would be useful, but not essential.
  3. Excellent interpersonal, oral and written communication and presentation skills required
  4. Demonstrated organizational skills and a superior level of attention to detail
  5. Excellent computing skills including competency in MS Office package (Outlook, Word, Excel and Powerpoint) required. Some experience with student database or similar applications would be helpful
  6. Ability to work successfully as part of a team required
  7. Ability to work independently and to maintain confidentiality required
  8. Will access confidential information in central and local systems and will protect the confidentiality of the data and uphold FERPA
  9. Ability and willingness to work evenings and Saturdays/Sundays required
  10. Must be able to work legally in UK on a permanent basis
