IT Policy - Software and Data Backup

About This Document

This document details the infrastructure available within the Organization for Software and crucial Data Backup and details the organizational laid out policy for backup.

Infrastructure

Tata Power employs a variety of software including operating systems application packages freeware etc. Various Backup devices have been made available such as CDROMs, Tape, and Backup Server etc. In order to facilitate the software and corporate data, Backup servers have been provided by IT in order to facilitate storage and retrieval of user generated data in compressed form and password protected at various locations.

Policy Guidelines

Tata Power today has heavy dependence on electronic information systems. Owing to the sensitive, volatile and vulnerable nature of electronic information, this policy details the guidelines to ensure smooth business operation and to assist in a speedy information disaster recovery.

Software and Data Backup

All information, software and data created within Tata Power are property of Tata Power Company Ltd. Such information, software and data may exist at a central location or may exist locally with the data owner.

All users are expected to have and maintain their own backups of critical data (using hard Disks, Floppies, Tapes, or Optical media) and software subject to the information security procedures and existing copyright laws. Additionally, data backup servers have been provided at various strategic locations. Theses servers are intended to assist all users to store important documents in compressed format with a password. These servers have been provided to assist in a central storage system for critical data (Documents, Spreadsheets etc.) and the backups of these systems is managed centrally by IT.

In addition to the central backup, it is recommended to store the data in at least one backup media. Depending upon the sensitivity of information, the data may be copied on multiple media and secured physically if applicable. The magnetic media such as floppies and tapes have tendency to gather fungus thereby leading to media damage, especially during monsoons. It is recommended to store all the magnetic media in a dust free and dry environment. These media should be periodically refreshed and verified for integrity.

All original software media supplied by the vendors should be stored in a dry and dust free condition by the user. If the vendor has contractually allowed copied to be made for backup purpose, the same should be done so. Media distribution in CDROMs is reliable and durable; therefore it is recommended to obtain software in form of CDROMs if possible.

At certain instances, a user may also have specialized licensed software supplied by an equipment supplier. All users are expected to maintain a duplicate/Backup of the software deployed by the specific users wherever the supplier permits copying for backup purposes.

Utmost care and precaution must be exercised by the data/information owners and safe keepers that the media is not handed over to unauthorized users. Any transfer of media to a different location or access to the media must be allowed only with prior written approval from the respective data owners. Any Unauthorized access, possession or transfer of such media is contrary to Tata Power Information Security Policy and appropriate actions will be invoked against the unauthorized users/possessors.

IT maintains backup copies of all the licensed and freeware software and software developed by IT for general use in Tata Power Co. Ltd. For highly classified and sensitive data, individual owner/user should maintain his/her personal backup by means of CD or magnetic media and is solely responsible for the safety and integrity of information.
