SyteLine 8.02 –New Item Setup

Creating a new item in SyteLine 8.02 involves the following procedures:

  • Define the New Item
  • Define the Manufacturer Information for Purchased Parts
  • Define the Vendor Information for Purchased Parts

Define the New Item

  1. To access the ltems screen, from the Explorer, select Modules/Material/ Inventory/ Items.
  1. Click on filter in place (magnifying glass).

  1. The Items screen appears.

  1. ???If you do not know the next item number to be created, from the toolbar, click the Last button. Note the item number of the last item in the database. ???
  2. To create a new item record, click the New button, or press CTRL+N Button with Page and astrick in upper left hand corner.
  3. Enter the (next) Item Number (tab to the next fields, all yellow fields are mandatory to enter).
  4. Enter the Description of the item.
  5. Enter a dash (-) as the Revision of the item.
  6. Select the Revision Track check box if the part is manufactured, do not check the box if the part is purchased.
  7. Enter the Drawing number, if applicable.
    The drawing number is the document that defines the item being created. This is the map to the document on the network, and cannot use the drive letter indications
    If only certain sheets of the drawing apply, indicate the sheet number(s).
    For example: 12345 Sht 1 \\fs14\acad\acaddwg\d70900.dwg.
  8. Tab through the Alternate Item and Buyer , etc. to unit of measure fìelds.
  9. Selectthe Unit of Measure (U/M) as EA.
  10. Select the Material type (Material, Tool, Fixture, Other).
  11. Select the Source Code (Purchased, Manufactured, Transfered).
  12. Select the four-digit Product Code, as applicable.
  13. Make sure the Cost Type is Actual.
  14. Make sure the Cost Method is FIFO.
  15. If the new item is a purchased part (see step 13), continue to define the Manufacturerand the Vendor information in the following procedures.
  16. To save the new item, click the Savebutton.

Define the Manufacturer Information for Purchased Parts

NOTE: can’t do this procedure without the correct User Defined tab in SL802. Can’t enter anything in this screen.

NOTE

Perform this procedure only if the new item is apurchased part (Source = Purchased) and has specific engineered specifications standards. Do not fill in for common parts that are not critical (i.e., bolts, nuts, screws, etc.).

Before continuing, you must know the Manufacturer's Name and Number.

  1. If you are on the ltems screen, select the User Defined tab. To access the ltems screen from the Explorer, select Material/Inventory/Items.
  2. USER DEFINED TAB is Missing Labels for this section

3.Select the field you want to edit, or use the tab key to skip the Old TMS Part No. field and move to the field to be edited.

  1. Enter the Manufacturer's Name.
  2. If equivalent substitutes are permitted, enter the Manufacturer's Name followed by OR EQUAL
  3. If substitutes are not permitted, enter only the Manufacturer’s Name.
  4. Enter the Manufacturer's Number.
  5. If special purchasing or substitution issues exist for this item:
  6. To Edit Text, click the Notesbutton.
  7. Type in detailed instructions concerning purchase or substitution of this item.

Define the Vendor Information for Purchased Parts

NOTE

Perform this procedure only if the new item is a purchased part (Source = Purchased).

  1. Ifyou do not know the Vendor number:
  2. From the ltems screen, click the Vendor Contracts button to display the Vendor Contracts screen.
  3. In the Vendor field, select the Vendor. If you do not know the vendor # click on the Filter in Place button (Magnifying glass) and then go to the open box next to the Name field and type in the name, OR USE asterisks (*) such as *THK* then hit REFRESH to do a search.
  4. In the Rank field, enter the Vendor rank (i.e., 1,2,3).

NOTE

If this is the only vendor identified for this item, you must enter a "1". If additional vendors are identified, you can rank the vendor in order of preference. To see a list of ranked vendors, click the Ranks button.

  1. To find the Vendor name type in the first part of the name, or enter a match string for the Vendor's name. For example: *LEWIS* will find “Lewis Electronic Assembly.”(not the same in SL8 – select vendor number but vendor names not necessarily alphabetized . If you do not know the vendor # click on the Filter in Place button (Magnifying glass) and then go to the open box next to the Name field and type in the name, OR USE asterisks (*) such as *THK* then hit REFRESH to do a search.
  2. Select the vendor. The Vendor's number displays.
  1. Enter the unit of measure (U/M) same as on the Items screen.
  2. Enter the Vendor ltem (if applicable).
    The vendor item number may be a unique number used by the vendor to identify the item (such as the vendor's stock number).
  1. Tab past the Lead Time field.
  2. Select the Quote Date (if applicable).
  3. To display the vendor cross-referenced prices, click Prices.The Vendor Contract Prices screen displays.

  1. Enter the Break Quantity and Unit Price data (if applicable).
  2. To save the Vendor Contract information, click Save.
  3. Click Vendor Contracts to return to the Vendor Contracts screen.
  4. Repeat steps 1 through 9 to add any additional vendors of this item, if applicable.
