Student Lifecycle Grid

This document contains a questionnaire that aims to help Schools articulate the supporting structure around the programmes being developed for delivery in partnership, transnationally or off-campus. It uses the student lifecycle as a basis for making clearthe location of responsibilities for particular aspects of work between partners, and making explicit some of the requirements for supporting the student experience that are implicit for delivery at Newcastle.

The information provided will be used in both the institutional approval of the partner organisations and as part of the evidence required for programme approval.

2. Recruitment
  1. How will it work? (E.g. text used in advertising, use and management of recruitment agents, other marketing etc).

  1. Process and selection (e.g. how do students apply; who is responsible for decision making and setting criteria?)

4. Registration and enrolment
  1. How is pre-registration and registration managed (e.g. who sends out welcome information? Will students be using S3P?How do students get their login information etc)?

5. Course administration
  1. How will the activities normally carried out by the teaching administrators in Schools be covered? (e.g. production of handbooks, collection of assignments and maintenance of student records)

6. Student Induction
  1. How is University and programme induction provided?

7. Programme related
  1. How will the expectations outlined in the Newcastle ‘offer’ (e.g. contact hours, research-informed teaching etc) be met?

8. General programme management
  1. Who will be DPD in Newcastle and who is responsible for the programme locally?

  1. How will communications be managed between partner or locally employed staff and Newcastle?

  1. Which Board of Studies is responsible for the programme and how will it discharge its duties (as outlined in the BoS schedule)

9. Postgraduate Research
  1. How will the expectations for the Code of Practice for Research Degree Programmes be met?

10. Teaching resources
  1. How will the expectations of the Newcastle ‘offer’ be met?

  1. What physical resources are needed and who will provide them (e.g. labs, lecture theatres, seminar rooms etc quiet study, group study, social learning space, PC Clusters)?

  1. What hardware/software is needed and how will it be accessed?

  1. What technical teaching support tools are expected to be used (e.g. Blackboard, ReCap, Turning Point, Turnitin etc)

  1. Is any specialised equipment required, e.g. microscopes etc

  1. How will library facilities be provided?
  • What library materials need to be provided both locally and remotely
  • Who is responsible for delivering library support

  1. What electronic resources will be delivered remotely?

11. Teaching – assessment
How will assessment matters be handled? E.g.

12. Disciplinary, complaints and appeals
  1. How will personal extenuating circumstances, academic queries and appeals,complaints and resolution and student disciplineprocesses be handled?

  1. Graduation Ceremonies (where are they held, which staff attend, who organises them and produces parchments etc)

14. Student Voice
  1. How will the requirements of the student representation policy be met?

  1. Through what mechanisms will student feedback is sought (e.g. module evaluation, ISB, National Student Survey, internal institutional surveys?)

  • How will extracurricular activities e.g. sport, volunteering take place?
  • Who will help if a student needs independent advice from the University (academic appeals etc)?
  • What is the mechanism for students to feed into Newcastle committees?
  • Students’ Union council – how would students feed into this?
  • How will any existing student union available at the partner link to Newcastle SU? What kind of relationship should this be? (does this still fit under the 1994 Education Act?)
  • Will there be a student shop selling Newcastle University items?

15.Personal tutoring
  1. How will the requirements of the Personal Tutoring framework be met?

16. Legal responsibilities
  1. How will legal responsibilities be discharged for:
  • Health and safety requirements
  • Data protection
  • Freedom of Information
  • Equality and diversity legislation?

17. Student Wellbeing
  1. How do we know if the student has a disability? (mental health or physical health) What is the procedure for responding and who will support them with that disability in order to ensure we comply with legislation e.g. reasonable adjustments

  1. Who supports students with mental health, emotional and psychological difficulties? Who liaises with local services to ensure the student is receiving the care they need

  1. What evidence is required and deemed as acceptable for students with dyslexia and specific learning difficulties? Who provides the assessments and recommendation of need and who pays for these adjustments to be put into place? Who provides the necessary study support to these students?

  1. Who provides financial information, advice and guidance to students? Are bursaries and scholarships to be awarded and if so who is responsible for this process? Will hardship awards be available and if so who collects analyses and decides on whether the evidence suggests assistance is required and at what level?

18. Careers
  1. How will students have access to appropriate careers guidance?

  1. Will students have the opportunity to engage with a range of co-curricular activities (e.g. ncl+) to support development of employability skills?

19. Finance
  1. Who owns the business plan for the venture?

  1. What is the governance structure for the legal in-house liabilities?

  1. Has the tax position been considered?

20. HR - Staffing
  1. Who will employ all staff involved?

  1. How will staff recruitment be handled?

  1. How will staff development be handled – induction/PDR/other employee lifecycle and role related training (e.g. Board of Studies training) and leadership development etc

21. IT - Infrastructure
  1. What will the On-site Infrastructure be?

  1. Have all these costs been included and signed off by Director of ISS or nominee?

21. Accommodation
  1. What accommodation is available? Where will this be located?
