JOB TITLE:Administration Worker

RESPONSIBLE TO:Project Co-ordinator

HOURS:15 hours per week

JOB PURPOSE:

As part of the Connecting Choices ESF and Lottery funded project, the job holder will be responsible for: the administration of the service to progress and support unemployed or economically inactive adults within Stoke on Trent and Newcastle under Lyme, in order to improve their employability. This will be achieved by providing wide-ranging administrative support.

MAIN RESPONSIBILITIES:

  • Providing administrative support to the Project Co-ordinator and Trainer
  • Provide and recall timetables for and communicate with, participants.
  • Contact all participants who do not attend sessions to identify any problems/issues.
  • Maintaining and updating IT and manual filing systems/ provide monitoring information, setting up any spreadsheets/databases required.
  • Aware of and fulfil all requirements in respect of Information Governance (IG).
  • Arranging appointments and meetings/Organising diaries/process post/ General reception duties, acting as first point of contact for clients and professionals.
  • Organising events, planned courses including hotel and travel arrangements
  • Setting up and maintaining databases/Producing publicity material
  • Ordering stationery/Inputting data for projects/Liaising with internal/external organisations.
  • Take appropriate action to support the Quality Management Systems in order to enhance the quality of our service.
  • Support Environmental Management actions, to reduce our carbon footprint.

Vision and context

The ideal candidate will be a flexible competent administrator, highly numerate, with excellent administrative and organizational skills. Must be able to work on own initiative without close supervision, to tight and exacting guidelines. As the role includes contact work with clients they will require good interpersonal and communication skills.

Administration Worker Person Specification

Qualification / ESSENTIAL
Educated to a minimum GCSE level including Maths and English or equivalent
Knowledge of Microsoft Office applications including Word, Excel, Access, Outlook and PowerPoint / DESIRABLE
NVQ Level 3/4/ in Computer Studies
Experience of customer service in a reception environment
Experience / Experience of administration work, as part of a team. / Experience of working in an environment where agreed targets are in place
Experience of data handling
Skills & Competencies / People person and good communicator.
The ability to work independently
Strong organisational and time management skills / Enthusiastic team player, perceptive, with the capability to support the objectives of the post
Knowledge / Knowledge of data recording and analysis / Have a comprehensive knowledge of the mental health, statutory and voluntary sector and the relevant issues
