Staff PHC Plan Brief 2017

As the Pet Health Club has been so successful across the IVC estate we would now like to introduce a Staff plan to encourage PHC growth and add benefit to IVC employees. This will be available from Monday 17th July 2017.

Currently very few staff choose to join the plan because their staff discountoffers far higher savings. But this does mean that they do not necessarily benefit from all the scheme components – most notably routine flea and worming and health checks.

We believe that this is a sticking point for staff when trying to promote PHC to clients as it is harder to talk about a plan which the staff member is not benefitting from.

Benefits to staff members:

  • Staff can budget for the preventative health
  • Staff discounts are built in so it is very clear what they are
  • Gold standard care for staff pets
  • Unique discounts only available to IVC Staff
  • Help build confidence for staff members in promoting the plan
  • Sense of them and their pet being just as important as clients
  • Improved team morale

Plan content:

We have to ensure the discounts match staff scheme discounts and therefore the content and discounts would be as follows:

  • Annual Vaccinations (inc KC)
  • 50% discount off additional vaccines e.g. rabies or BB
  • 12 months Flea and worm treatment (As per clinical board suggested protocol)
  • For rabbits in place of flea and worm-1 x fly strike protection & Quartery 9 day course of fenbendezole if appropriate for prevention of E.cuniculi. If it is not the protocol of the surgery to prophylactically treat for E.Cuniculi then a 2ndRearguard can be given
  • Annual urine test free flow or Katkor sample dipstick & S.G (in-house)
  • 1 x 6-month health check
  • Microchip or a £10 Voucher
  • 50% discount on first bag then cost price food (25% discount off Royal Canin, Hills or MFV life stage and prescription diets)
  • 50% discount on professional fees (i.e. consultations, non-routine) surgery, dental procedures fees & List Price medications OR 100% discount of insurance excess fees.
  • 50% discount on neutering (1 pet per plan)
  • 25% off pet shop sales
  • Free nail clips and anal gland expression

Costings:

We have looked at the cost of PHC content and in-line with current staff discount brought the cost down to as near as cost price as possible.

N.B. As we have discounted the plan down to cost price there is no further discount for subsequent pets. The discounts shown are on top of the savings that clients make on the normal PHC prices.

Launch:

All Jupiter surgeries launch are able to launch as of Monday 17th July 2017. If you are a non-Jupiter surgery offering National Pet Health Club you may require a little more time for the setup of these discounts, however we would recommend this being done before the end of July so that staff can benefit from the plan.

Adding or amending a staff plan:

If any of your staff are currently on the plan a message can be sent to Animal Healthcare via the ‘Contact Us’ tab on the portal to advise that the plan is now eligible for staff discount, please also advise the new monthly amount. The plan number is entered at the top of the message box.

E.g.- Currently on a standard cat plan-£13.50-

The message to AHC would say-This plan is a staff plan so please could you change the price to £8.95 per month from now on.

If the plan is a new plan, then it is entered into the AHC portal the same as any other plan but should have STAFF in the plan code field. The monthly amount applicable is then entered into the monthly direct debit price field.

If a member of your team leaves you can amend back to national pricing via the ‘Contact us’ tab in the AHC portal in the same way as detailed above.

Administering the plan:

The plan should be tagged on Jupiter as a PHC patient national plan as with client plans via the ‘Join HCP’ button in the reception screen. And added as National PHC discount code in the patient tab.

There are codes for the 1st months payment (we would advise that staff members only pay one month up front followed by 11 month’s direct debits in the first year) The codes are set up in the treatment screen as:

  • PHC Staff Payment - Cat

  • PHC Staff Payment - Giant Dog

  • PHC Staff Payment - Large Dog

  • PHC Staff Payment - Medium Dog

  • PHC Staff Payment - Rabbit

  • PHC Staff Payment - Small Dog

For the time being the plan benefits should be administered as follows:

  • Annual Vaccinations (inc KC) – use the standard PHC composites
  • 50% discount off additional vaccines e.g. rabies or BB -Use the ‘50% discount’ code manually
  • 12 months Flea and worm treatment (As per clinical board suggested protocol) – use the standard PHC composites
  • For rabbits in place of flea and worm-1 x fly strike protection & Bi-annual 5 day course of Fenbendezole for prevention of E.cuniculi– use the standard PHC composites
  • Annual urine test free flow or Katkor sample dipstick & S.G (in-house) – use the standard PHC composites
  • 1 x 6-month health check– use the standard PHC composites
  • Microchip or a £10 Voucher– use the standard PHC composites
  • 50% discount on first bag then cost price food (25% discount off Royal Canin, Hills or MFV life stage and prescription diets) – should happen automatically if patient is marked with discount category PHC national as for a normal PHC member
  • 50% discount on professional fees (i.e. consultations, non-routine) surgery, dental procedures fees & List Price medications OR 100% discount of insurance excess fees. -use the ‘50% discount’ code manually OR credit the excess through accounts, discount
  • 50% discount on neutering (1 pet per plan) -Use the ‘50% discount’ code manually
  • 25% off pet shop sales – from the add treatment screen the 10% discount is deleted and the ‘25% discount’ code added manually
  • Free nail clips and anal gland expression – use the standard PHC composites

We are currently in the process of setting up the Health Plan module in Jupiter so when this is launched out to surgeries the discounts will hopefully be automated. We will provide more information on this as it becomes available.

FAQ’s

Is there a limit on the number of pets a staff member can add on to a plan?

No, staff can add as many of their own pets to the plans as they like however there is no subsequent pet discount as we are offering the plan at cost price.

What happens if a member of staff leaves the company?

If a member of your team leaves you can amend back to national pricing via the ‘Contact us’ tab in the AHC portal or call AHC directly-0800 587 0068

Can the 50% discount on services be used as well as the waiving of insurance excess?

No, it is one or the other NOT both.

Is there a minimum length of service before a member of staff can join a staff plan?

No, all members of staff are eligible to join the plan. This would only change if they were to leave the company.

Will staff plans be included in our monthly PHC incentives?

Yes, like any other plan we will pay £10 for all new plans minus £10 for any cancellations in any month. (Net growth).
